Administrative and Accounts Assistant

New Maritime Pte. Ltd. is a leading Singaporean ship management and marine fuel logistics company, owning and operating our own fleet of bunker barges with our in-house team.

Job Description

  • Assist with invoice matching, verification, and supporting documentation.
  • Prepare payment schedules and supporting documents for payments to vendors and suppliers.
  • Assist in monthly account reconciliations by verifying transactions and supporting documentation.
  • Support month-end closing activities, including the compilation, filing, and maintenance of accounting records.
  • Liaise with vendors and suppliers regarding invoices, payment status, and account-related queries.
  • Perform data entry and maintain accurate and up-to-date records.
  • Maintain and update filing systems, records, and databases.
  • Coordinate with various departments to ensure the timely completion of administrative and accounting tasks.
  • Manage stationery and office supply inventories.
  • Provide support for day-to-day office administration and general administrative operations (including preparing and issuing of ad-hoc Purchase Orders).
  • Perform other ad hoc duties and responsibilities as assigned.

Qualifications & Experience

  • A relevant qualification or Diploma in Accounting, Finance, or Business Administration
  • Proficiency in Microsoft Office applications, particularly Excel and Words
  • Strong numerical skills with excellent attention to detail and accuracy
  • Good organisational and filing skills with the ability to maintain confidentiality
  • Ability to work independently and as part of a team
