PROJECT COORDINATOR

- Document Control: Organize and track vital paperwork, including blueprints, contracts, permits, and daily field reports.
- RFIs and Change Orders: Manage Requests for Information (RFIs) between contractors and architects. Document and process change orders that affect project scope.

Scheduling & Progress Tracking
- Milestone Monitoring: Work alongside the Project Manager to track construction schedules and make sure milestones are met on time.
- Daily Updates: Monitor daily progress on the construction site and report any potential bottlenecks to senior management.
- Resource Allocation: Help coordinate the availability of materials, heavy machinery, and labor forces to avoid idle time on site. [1, 2, 3, 4, 5]
Communication & Stakeholder Liaison
- Central Point of Contact: Act as the primary conduit for information flow across all parties, including subcontractors, suppliers, and clients. [1, 2]
- Vendor Negotiations: Assist in negotiating contracts with suppliers and subcontractors. Follow up to ensure material deliveries align with the construction schedule. [1, 2, 3]
- Client Relations: Address client inquiries and provide regular status updates or progress reports on the build. [1, 2]
- Financial & Risk Management
- Billing Support: Aid with administrative billing tasks, invoice processing, and purchase order generation.
- Cost Monitoring: Examine opportunities to reduce costs and ensure team compliance with the allocated project budget.
- Risk Mitigation: Anticipate potential schedule delays, safety hazards, or resource conflicts, and help develop contingency plans. [1, 2, 3, 4]
- Quality & Safety
- Compliance Monitoring: Enforce company and government safety standards and foster a strong safety culture on the job site.
- Defect Tracking: Identify construction defects, log them, and follow up with the responsible crews to ensure they are resolved.
