Job Summary
Admiralty Secondary School is seeking a professional and customer-focused Front Desk Officer to support the school's daily administrative and reception operations. The successful candidate will serve as the first point of contact for students, parents, visitors, contractors, and staff while ensuring smooth front office operations and administrative support services.
Key Responsibilities
Reception & Customer Service
Manage and oversee the school's reception counter.
Welcome and assist students, parents, visitors, and stakeholders.
Answer incoming phone calls and direct enquiries appropriately.
Coordinate with school staff to address visitor and parent requests.
Deliver professional and courteous customer service at all times.
Mail & Document Management
Handle incoming and outgoing mail, parcels, and deliveries.
Receive deliveries from suppliers, students, and parents.
Distribute certificates, official documents, and school-related materials.
Assist with document consolidation, filing, and verification.
Key & Facility Access Management
Manage issuance and return of facility keys.
Maintain key control records and key press operations.
Support contractors and visitors requiring facility access.
Student & Parent Support Services
Process student early dismissal requests.
Assist with admission and release of students from the sick bay.
Support financial assistance application enquiries.
Provide assistance for:
School uniform requests
Student document submissions
Survey collection
Assignment submissions
Student welfare requests
Student Welfare & Movement Tracking
Maintain student movement logs.
Update records for:
Sick Bay Admissions
Early Dismissals
Student Movements
Support student welfare-related administrative matters.
Administrative Support
Perform simple data entry and record updates.
Assist with photocopying and document processing.
Handle shredding and general administrative duties.
Support staff with administrative tasks and school exercises.
School Operations & Emergency Preparedness
Participate in:
Fire Drills
Lockdown Exercises
Emergency Preparedness Activities
Manage safety equipment such as:
Walkie-Talkies
Mobile Devices
Support school events, activities, and approved outings.
Lost & Found Management
Handle lost and found items according to MOE policies.
Maintain proper records and return procedures.
Mandatory Requirements
Education
N-Level Certificate with a minimum of 3 passes.
Experience
Minimum 3 years of relevant experience in:
Front Desk Operations
Reception Services
Customer Service
Administrative Support
Prior school-based experience will be an advantage.
