Admin & HR Executive

Job Description:

Human Resource

  • Manage end-to-end recruitment: Job posting, candidate screening, interview coordination, and offer management
  • Prepare work pass application drafts for incoming new staff and coordinate renewals of existing staff work passes with MOM
  • Prepare Letters of Appointment (LOA)
  • Conduct structured orientation programmes for all new hires; manage the onboarding experience including 30/60/90-day check-ins
  • Send notification emails to relevant departments upon new staff commencement
  • Administer all HR transactions including confirmation, contract renewal, transfer, and offboarding
  • Send resignation acknowledgement emails to resigned staff; prepare and submit monthly resignee listing to CFO for Oracle processing
  • Manage leave administration (annual, medical, maternity/paternity, childcare, NS leave) in HRMS
  • Administer staff hospitalisation and insurance claims, including liaison with insurers and timely submission
  • Prepare and issue Certificates of Employment (COE) for staff upon request
  • Manage the Primary Care Programme (PCP) for staff in accordance with MOM requirements
  • Prepare and update staff CVs for new site staff and staff transfers.
  • Manage and maintain the HRMS for staff and semi-staff
  • Administer staff hospitalisation and insurance claims
  • Coordinate internship placements, including liaison with institutions, onboarding administration

Compliance, Reporting & Policy

  • Maintain and update HR database with accuracy; prepare monthly HR reports and statutory survey submissions (MOM, BCA, etc.)
  • Support in the implementation of HR policies, procedures, and guidelines and the employee handbook
  • Monitor changes to MOM, TAFEP, CPF, and other applicable legislation; advise superiors and management on necessary updates

Administration

  • Monitor and coordinate renewal of company vehicles road tax and insurance policies; maintain a renewal tracker to ensure zero lapses
  • Assist Esso Fleet Card programme — collate receipts and prepare periodic reports for submission to Finance
  • Arrange bus transport for workers as required and verify monthly transport invoices
  • Coordinate with IT on email account creation for new staff, license tracking, and procurement of computers and laptops
  • Coordinate donations and corporate social responsibility (CSR) initiatives
  • Assist in drafting and disseminating company memos, circulars, and employee communications
  • Support planning and execution of company events, staff activities, and CSR programmes
  • Assist with data compilation for the Annual Report and Sustainability Report
  • Provide general administrative support across departments as required
  • Handle ad-hoc tasks as assigned by immediate supervisors


Job Requirements

  • Degree in Human Resources Management or relevant
  • Min. 2 years of experience as a HR Generalist
  • Familiar with MOM Guidelines
  • Proficient in HRIS and Data Analysis
  • Team player, strong organisational skills and attention to details
