Responsibilities
- Oversee daily facility operations, including M&E, HVAC, safety systems, and utilities by coordinating service providers and monitoring work completion.
- Manage preventive and corrective maintenance schedules, including statutory inspections and service record documentation.
- Log facility requests and incidents, coordinating contractor attendance and ensuring timely resolutions with proper documentation.
- Ensure compliance with relevant statutory and regulatory safety requirements by maintaining detailed records and preparing for audits.
- Assist with safety drills and emergency preparedness, escalating any risks or compliance issues to the Facilities Manager promptly.
- Coordinate site service providers and support outsourced vendor administration, including onboarding and service schedule management.
- Maintain and track key performance indicators related to service standards and escalate any recurring issues for resolution.
- Support budget management for minor works and facility improvement initiatives by compiling cost data and preparing progress updates.
- Facilitate sustainability efforts and energy-saving activities, reporting on observations and opportunities for continuous improvement.
- Prepare routine facility reports and maintain trackers to enhance governance and decision-making processes.
Requirements
- Diploma (or higher) in Facilities Management, Building Services/Engineering, or a related field.
- 1–3 years of experience in facilities operations, building services, workplace support, or vendor coordination.
- Familiarity with outsourced services (e.g., security and cleaning) and maintenance coordination is advantageous.
