HR & Admin Executive

1. Role Overview

The HR & Admin Executive runs the day-to-daypeople-operations, office and administrative functions for Hey Co Group’s multi-brand F&B portfolio, across all entities andoutlets. This is a hands-on, coordination-focused role: keeping HR runningsmoothly, processing payroll for Finance Manager approval, coordinatingrecruitment with outlet managers, and working alongside an appointed work-passagent who handles statutory work-pass expertise. The role reports to theDirector, who owns HR strategy and senior decisions.

2. KeyResponsibilities

Payroll

• Runmonthly payroll across all entities — process timesheets, leave, claims andovertime (StaffAny), compute CPF, SDL and levies, and prepare IR8A / IRASsubmissions — and submit to the Finance Manager for review and approval beforerelease.

• Maintainaccurate payroll records and statutory filing.

Recruitment Coordination

• Managejob postings and sourcing across channels, for corporate and outlet roles.

• Screenapplications and coordinate interviews with outlet and operations managers, wholead hiring decisions for their own teams.

• Prepareoffer letters and onboarding documentation.

• Confirmwork-pass eligibility with the appointed agent before any offer is made.

• Supportmanpower planning aligned to outlet openings.

HR Operations

• Administeronboarding and offboarding end to end.

• Manageleave, claims and attendance, including StaffAny exports.

• Trackwork-pass quota and levy headroom across all entities; flag renewal deadlinesand quota changes to the Director and the appointed agent before they bite.

• Planand run employee engagement and recognition activities; gather staff feedbackand surface it to the Director.

• Administerthe performance-management cycle — coordinate probation reviews and appraisals,track completion, and maintain records — under the framework set by theDirector.

• Maintainthe employee master list, HR records and statutory filing.

• Handleday-to-day employee queries and first-line employee-relations matters; documentdisciplinary cases and escalate serious matters to the Director.

Work-Pass & Compliance Coordination

• Liaisewith the appointed work-pass agent on Work Permit, S Pass and EP applicationsand renewals.

• Monitorand flag upcoming regulatory or deadline changes (for example, S Passqualifying salary and PWM schedules) to the Director and the agent.

• Keep HRand compliance records accurate and audit-ready, in line with the EmploymentAct, CPF, PWM, POHA and PDPA.

Office & Administration

• Officemanagement — supplies, facilities and vendor coordination.

• Generaladministrative support across the group.

• Documentcontrol and filing.

AI & HR Technology

• Use HRsystems and AI / LLM tools to draft, summarise, screen and report faster, withsound judgement and accuracy.

• Neverput confidential employee data into public AI tools — maintain strict dataconfidentiality at all times.

3. Requirements

• Diplomaor Degree in Human Resource Management, Business or a related field.

• 2–3years of HR and/or administrative experience, ideally in F&B, retail,lifestyle or similar multi-outlet, shift-based service businesses.

• Hands-onpayroll experience with demonstrable command of CPF, SDL, levy and IR8Acomputation. This is a core function of the role, reviewed and approved by theFinance Manager.

• Workingknowledge of Singapore employment basics — Employment Act, CPF, leave and thework-pass framework. Specialist work-pass depth is not required, asapplications are supported by an appointed agent.

• Proficiencywith HR and payroll systems and a strong command of Excel.

• Confident,hands-on user of AI / LLM tools at work, with the discipline never to putconfidential employee data into public AI tools.

• Highlyorganised, able to juggle multiple functions and prioritise the important overthe merely urgent.
