Order Processing Customer Service Executive

Job Summary

We are looking for a detail-oriented and customer-focused Order Processing Customer Service Executive to support daily customer orders, sales coordination, and logistics follow-ups. The role acts as a key link between customers, sales, warehouse, and logistics teams to ensure orders are processed accurately and delivered on time.

Responsibilities

  • Accurately receive, verify, and process customer purchase orders to ensure timely fulfillment
  • Enter sales orders and customer requests into internal systems such as SAP, ERP, CRM, or WMS to maintain updated records
  • Respond promptly to customer enquiries regarding product availability, pricing, order status, and delivery updates to enhance customer satisfaction
  • Coordinate with sales, warehouse, logistics, freight forwarders, and transport providers to ensure on-time delivery of orders
  • Prepare and review invoices, delivery orders, shipping documents, and related order documentation to support accurate billing and shipment
  • Follow up on pending orders, order amendments, claims, and customer issues to resolve discrepancies and maintain service quality
  • Maintain accurate customer records, order details, and service history for effective tracking and reporting
  • Collaborate with internal departments to ensure smooth order fulfillment and high customer satisfaction
  • Assist in resolving service issues, delivery delays, and customer complaints professionally to uphold company reputation

Required competencies and certifications

  • Diploma in Business, Supply Chain, Logistics, or related discipline
  • Experience of 1–3 years in order processing, customer service, sales support, logistics coordination, or administrative operations
  • Proficiency in Microsoft Office applications, especially Excel and Outlook
  • Strong attention to detail and accuracy in order entry, billing, and documentation
  • Effective communication skills to liaise with customers and internal teams
  • Ability to organize and manage multiple orders and deadlines independently in a fast-paced environment
  • Positive attitude and strong problem-solving skills

Preferred competencies and qualifications

  • Experience using SAP, ERP, CRM, or WMS order management systems
  • Skills in order fulfillment and sales order processing
  • Customer service support expertise
  • Logistics coordination experience
  • Knowledge of delivery and shipment documentation preparation
  • Ability to prepare invoices and delivery orders
  • Experience coordinating with internal stakeholders
