Legal Secretary (Shipping Finance)

Our client is seeking a meticulous and proactive Legal Secretary to provide comprehensive secretarial and administrative support to a team of legal professionals. This role offers an excellent opportunity to manage diverse tasks spanning maritime/shipping documentation, and general practice administration within a collaborative team environment.
Key Responsibilities
- Prepare client engagement letters, open new matter files, input fee earners' timesheets accurately, and manage client billing processes.
- Conduct and purchase searches via ACRA, MarineNet, and e-Litigation platforms.
- Draft ACRA Authorization Letters, prepare documents for ACRA filings, and assist with the filing of Registration of Charge and Satisfaction of Charge.
- Assist with mortgage registration and discharge with the Maritime and Port Authority of Singapore (MPA), and handle stamp duty filings.
- Prepare and manage correspondence, maintain efficient electronic (FileSite/WorkSite) and paper filing systems.
- Organize meetings, conferences, and travel/hotel arrangements. Assist the Business Development team with department events or client meetings.
- Cover the reception area and manage phone inquiries in a professional manner as and when required.
Requirements & Attributes
- Experience: Minimum five (5) years of work experience as a Secretary, with experience working in a law firm
- Technical Skills: Proficiency in *MS Office. Familiarity with FileSite/WorkSite and e-Litigation platforms is highly advantageous.
- Soft Skills: Exceptional attention to detail (meticulous) with a strong collaborative spirit and a team-player mindset.
- Communication: Excellent phone etiquette and professional communication skills.
