Job Summary
Coordinate office operations to enhance efficiency and ensure compliance with company policies while supporting management and maintaining effective communication with stakeholders.
Responsibilities
- Coordinate office activities and operations to ensure efficient workflow and compliance with company policies
- Supervise staff to maintain productivity and adherence to standards
- Liaise with third-party providers, clients, and suppliers to facilitate smooth business operations
- Manage daily phone calls and correspondence including emails, letters, and packages to support communication flow
- Update and maintain procedural documentation to ensure accuracy and accessibility
- Support budgeting and bookkeeping by verifying payments, amounts, and financial records for accuracy
- Create and update records and databases containing personnel, financial, and other relevant data for organizational needs
- Track inventory of supplies and place orders to maintain adequate stock levels
- Prepare and submit timely reports, presentations, and proposals as assigned to support decision-making
- Record and file cash transactions to maintain accurate financial documentation
- Process and file invoices to support accounts payable functions
- Utilize Microsoft Office applications (Word, Excel, PowerPoint) to produce documents and presentations
- Manage agendas and appointments for upper management to optimize time and scheduling
