The SingHealth Duke-NUS Medical Humanities Institute (SDMHI) is a joint entity within the SingHealth Duke-NUS Academic Medical Centre (AMC). The Institute envisions medical humanities as a bridge between the academic excellence of Duke-NUS Medical School and the clinical strengths of SingHealth institutions, placing the humanities at " The Heart of Tomorrow's Medicine ".

The Institute's mission is to integrate the arts and humanities into medical practice, education and research to improve person-centred care and population health in Singapore, while enriching healthcare professionals' experience of care delivery.

Reporting to the Business Lead, the Executive will provide comprehensive administrative, operational and project support to ensure the smooth functioning of the Institute. This role requires a highly organised and resourceful individual who is able to manage diverse responsibilities across administration, finance, events, communications and research support in a fast-paced academic environment.

Key Responsibilities

Institute Administration & Finance

  • Provide secretariat support to the Institute, including scheduling and coordinating meetings, preparing meeting materials, taking minutes, and tracking follow-up actions.
  • Coordinate facility and venue bookings, procurement and general administrative matters to support the Institute's daily operations.
  • Support the Business Lead in the preparation and monitoring of annual work plans, budgets, financial reports and administrative documentation.
  • Process and track financial transactions, including staff claims, vendor invoices, purchase requisitions, purchase orders and payments through the Institute's financial systems (e.g. SAP), ensuring compliance with organisational policies and procedures.
  • Monitor expenditure and maintain accurate financial records to support budget utilisation and reporting.
  • Coordinate with internal departments across SingHealth and Duke-NUS on operational, administrative and finance-related matters.
  • Perform other administrative and operational duties as assigned by the Business Lead and/or Institute Director.

Event & Programme Management

  • Plan, coordinate and execute a diverse range of Institute activities, including courses, seminars, colloquia, conferences, concerts, exhibitions and community engagement programmes.
  • Manage multiple projects concurrently, ensuring timely delivery, effective stakeholder coordination and smooth event execution.
  • Liaise with internal stakeholders and external vendors to support programme logistics and delivery.

Communications & Publicity

  • Support the Institute's communications strategy through website maintenance, digital content management and social media engagement.
  • Coordinate publicity materials and work with external vendors on creative, media and marketing initiatives.

Research & Academic Support

  • Provide administrative support for research projects, including ethics applications, participant coordination, consent administration, interview scheduling, transcription and data collection activities.
  • Support grant preparation by facilitating pilot research activities and coordinating project documentation.
  • Assist in preparing reports, presentations and analyses for the Institute Director, Deputy Director, Programme Co-Leads and other stakeholders.

Stakeholder & Vendor Management

  • Build and maintain effective working relationships with internal and external stakeholders, including faculty members, researchers, healthcare professionals, vendors and collaborators.
  • Coordinate and oversee work delivered by external service providers and supporting administrative staff where required.
  • Bachelor's Degree or equivalent in Business Administration, Communications, Social Sciences or a related discipline.
  • Minimum 3–4 years of relevant work experience in administration, operations, project coordination or programme management.
  • Prior experience in an academic, healthcare or research environment would be advantageous.
  • Demonstrated ability to manage multiple priorities and projects independently while maintaining a high level of accuracy and attention to detail.
  • Good understanding of administrative operations, budgeting, procurement and financial processes. Experience in processing claims and financial transactions through enterprise systems (e.g. SAP) would be advantageous.
  • Experience in organising events and coordinating multiple stakeholders.
  • Familiarity with website content management systems, digital communications and social media platforms would be advantageous.
  • Excellent interpersonal, organisational and communication skills, with the ability to work collaboratively across diverse stakeholder groups.
  • Excellent command of written and spoken English.
  • Proficient in Microsoft Office applications, SAP and content management systems.
