We are seeking a highly organized, proactive, anddetail-oriented Personal Assistant to provide comprehensive administrative andoperational support to the team. This role plays a critical part in ensuringsmooth day-to-day operations, exceptional client service, and efficientmanagement of appointments, documentation, and business activities.
- Manage calendars, appointments, meetings, and travel arrangements for hiring managers
- Coordinate and schedule client meetings, reviews, seminars, and events.
- Prepare meeting materials, presentations, reports, and client documentation.
- Handle correspondence, emails, phone calls, and follow-up communications professionally and promptly.
- Maintain organized filing systems and ensure accurate record keeping.
- Serve as the primary point of contact for clients regarding appointment scheduling and administrative inquiries.
- Follow up with clients on documentation, policy servicing requests, and outstanding requirements.
- Assist in maintaining strong client relationships through timely communication and support.
- Coordinate client appreciation events, workshops, and engagement activities.
- Assist with policy submissions, application processing, and administrative documentation.
- Ensure client records and documentation comply with company and regulatory requirements.
- Track business activities, production reports, and performance metrics.
- Liaise with internal departments and external stakeholders to facilitate smooth business operations.
- Support marketing initiatives, social media activities, and client communication campaigns.
- Coordinate event logistics, invitations, registrations, and follow-up activities.
- Monitor deadlines and ensure timely completion of tasks and submissions.
- Handle ad-hoc administrative duties and special projects as assigned.
- Identify opportunities to improve processes and enhance operational efficiency.
Minimum Requirements
· Prior experience as a personal assistant, adminexecutive, or in financial services support.
· Familiarity with insurance/investment termsand documentation.
· Basic knowledge of AI tools (ChatGPT, Claude) tohelp draft summaries or speed up admin work.
