HR Assistant (Full-Time – Singapore)

East Coast Podiatry is internationally recognised as one of Asia’s leading podiatry practices, with clinics in Kembangan, Orchard, Novena, Bukit Timah, and Marine Parade. We specialise in the conservative management of foot, ankle, and lower limb conditions, treating a wide range of patients locally and internationally. Our head office is located at Lower Delta Road.

The Opportunity

We are looking for a proactive and detail-oriented HR Assistant to join our Human Resources function. This role is ideal for a fresh graduate who is keen to build a career in HR and gain practical experience across the core functions of Human Resources.

Reporting directly to the HR Manager, you will support the day-to-day HR operations of the organisation, with exposure to recruitment, onboarding, employee administration, employee engagement, compliance, and HR process improvements. As part of a lean HR function, you will have the opportunity to learn, take on meaningful responsibilities, and build a strong foundation in Human Resources.

Key Responsibilities

Recruitment & Onboarding

  • Coordinate recruitment activities, including posting job advertisements, screening applications, scheduling interviews, and communicating with candidates.

  • Liaise with hiring managers to coordinate interview arrangements.

  • Conduct reference and background checks where required.

  • Prepare employment contracts, onboarding documents, and other new hire materials.

  • Prepare and coordinate work pass applications, renewals, cancellations, and related documentation where applicable.

  • Follow up with candidates to ensure all required documents are submitted in a timely manner.

  • Coordinate onboarding activities and pre-employment requirements to ensure a smooth onboarding experience.

HR Administration

  • Maintain accurate employee records, HR databases, and personnel files.

  • Organise, maintain, and archive HR documents and filing systems.

  • Prepare HR letters and other employment-related documentation.

  • Assist in the administration of employee leave, insurance, benefits, and other HR records.

  • Provide administrative support to ensure the smooth day-to-day operations of the HR function.

Employee Lifecycle Administration

  • Prepare and maintain HR documentation in accordance with company policies and employment regulations.

  • Assist in the administration of probation reviews, employment confirmations, contract renewals, and employee transfers.

  • Coordinate employee offboarding, including exit documentation and clearance.

Employee Engagement & HR Projects

  • Support employee engagement initiatives, staff events, and training activities.

  • Assist in preparing HR reports, presentations, and documentation.

  • Assist in HR process improvement initiatives and other HR projects.

  • Perform other HR-related duties as assigned by the HR Manager.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.

  • Entry level candidates are encouraged to apply.

  • Strong organisational skills with excellent attention to detail.

  • Good interpersonal and written communication skills.

  • Able to handle confidential information with professionalism and discretion.

  • Proficient in Microsoft Office (Word, Excel, and PowerPoint).

  • Resourceful, adaptable, and able to work independently in a fast-paced environment.
