Finance & Operations Executive (REMOTE)

Toy Space is one of Singapore’s leading distributor and retailer of diecast and toys collectibles. We operate across wholesale distribution, e-commerce, retail, events, and an expanding online marketplace. We are looking for a highly organised Finance & Operations Executive to support our daily finance and business operations.

JOB NATURE

This is a remote working role with occasional travel meetings to Singapore whenever required. Must be proficient in English and Chinese.

Key Responsibilities

Finance & Accounting

  • Perform daily bookkeeping using Xero.
  • Manage Accounts Receivable (AR) and Accounts Payable (AP).
  • Reconcile bank transactions and payment gateways.
  • Prepare customer invoices, supplier payments and payment schedules.
  • Monitor customer collections and follow up on overdue invoices.
  • Maintain accurate financial records.
  • Assist with monthly closing of accounts.
  • Prepare reports for external accountants for GST, tax and year-end financial statements.

Operations

  • Generate Purchase Orders (PO), & Invoices.
  • Coordinate with suppliers regarding stock arrivals.
  • Liaise with warehouse for inbound shipments, fulfilment and wholesale orders.
  • Coordinate stock transfers between warehouse and retail store.
  • Maintain inventory records and perform stock reconciliation.
  • Monitor inventory levels and recommend replenishment.

Cash Flow Management

  • Update weekly cash flow forecast.
  • Monitor incoming and outgoing payments.
  • Prepare weekly reports on outstanding receivables and payables.
  • Highlight potential cash flow issues to management.

Administration

  • Maintain filing of invoices, purchase documents and contracts.
  • Coordinate with banks, auditors, accountants and government agencies when required.
  • Support payroll preparation and CPF information submission
  • Assist in improving finance and operational processes.

Requirements

  • Diploma or Degree in Accounting, Finance or related field.
  • Minimum 3 years of accounting or finance experience.
  • Experience in an SME environment is preferred.
  • Proficient in Xero (preferred) or QuickBooks.
  • Strong Microsoft Excel or Google Sheets skills.
  • Good command of English & Chinese (written and spoken)
  • Able to work independently with minimal supervision.
  • Highly organised and detail-oriented.

Preferred Experience

Candidates with experience in any of the following will have an advantage:

  • Wholesale or distribution business
  • Inventory management
  • E-commerce (Shopify preferred)
  • Import & export operations
  • 3rd Party Logistics or warehouse coordination

Key Performance Indicators (KPIs)

The successful candidate will be measured on:

  • Monthly accounts closed by the 5th working day.
  • Bank reconciliation accuracy of 99%+.
  • Weekly cash flow report submitted every Monday.
  • Customer receivables followed up within agreed timelines.
  • Supplier payments made on schedule.
  • Inventory discrepancies kept to a minimum.
  • Accurate and timely preparation of finance and operational reports.
