This position of Admin Assistant plays a vital role in ensuring efficient office operations through comprehensive administrative support, event management, and regulatory compliance. The successful candidate will enhance team engagement and branding initiatives while managing essential documentation.

Responsibilities

  • Stakeholder Management: Collaborate with internal teams, service providers, and external partners to facilitate daily operations. Support travel arrangements, office services, and prepare necessary communications and reports for effective cross-office coordination.
  • Financial Planning and Budget Management: Aid in the preparation of the department budget while managing petty cash transactions and ensuring accurate record-keeping. Oversee payment processes for vendors and services, coordinating with the finance team for necessary documentation and approvals.
  • Organizational Event Management: Organize and coordinate corporate events, meetings, workshops, and staff activities. Handle all event logistics, including venue selection, catering, invitations, and vendor coordination to ensure successful outcomes.
  • Regulatory Compliance: Maintain up-to-date records of business licenses and certifications, ensuring timely renewals. Assist in the research, preparation, and submission of government grant applications while tracking compliance for auditing and reporting.
  • Employer Branding: Collaborate with HR and marketing teams to support employer branding initiatives. Manage company branding materials and assist in campaigns that promote company culture and employee engagement.

Requirements

  • Diploma or Degree in Business Administration, Facility Management, Event Management, or a related field.
  • 1–3 years of experience in administrative or office support roles preferred.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with office operations and event coordination is advantageous.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent verbal and written communication abilities, effective in liaising with diverse stakeholders.
  • Capable of handling confidential information with professionalism and discretion.
  • Ability to work independently as well as collaboratively in a fast-paced environment.
  • A dedicated team player demonstrating resilience, initiative, and commitment.
  • Customer service-oriented with a positive and proactive attitude.
