Company Overview
The client is launching a new digital sports and entertainment venue and seeks a Project & Operations Executive to support its opening and ongoing operations with strong coordination and project management skills.
Job Summary
You will work closely with the Director to coordinate pre-opening and operational activities, ensuring timely completion of tasks and smooth business operations in a dynamic digital sports and entertainment environment.
Responsibilities
- Coordinate pre-opening and operational activities to support the Director in launching and running the venue
- Maintain and update project timelines, opening checklists, and task trackers to ensure deadlines are met
- Follow up with contractors, equipment suppliers, vendors, and service providers to resolve outstanding matters
- Coordinate renovation, equipment installation, IT systems setup, licensing, and inspections to support venue readiness
- Assist with staff recruitment, onboarding, training schedules, and manpower planning to ensure adequate staffing
- Prepare detailed meeting notes and track action items, following up with relevant parties for completion
- Liaise effectively with internal teams, landlords, business partners, and external stakeholders to facilitate operations
- Manage the Director’s schedule, appointments, reminders, emails, and WhatsApp communications as needed
- Prepare documents, reports, presentations, and operational materials to support business functions
- Support marketing efforts by coordinating social media posting and basic content management
- Capture simple photos and videos for social media to enhance online presence when required
- Identify project delays or unresolved issues and promptly escalate them to the Director for resolution
- Handle confidential business information with professionalism and discretion
- Perform additional project, operational, and executive support duties as assigned
Preferred competencies and qualifications
- Diploma or Degree in Business Administration, Operations, Project Management, Marketing, or related fields
- 1–3 years of experience in operations, project coordination, executive support, or similar roles
- Experience in retail, entertainment, attractions, hospitality, events, or venue opening environments
- Experience managing social media platforms such as Instagram, Facebook, TikTok, or Xiaohongshu
- Proficiency in spoken and written English
- Strong follow-up, coordination, and problem-solving skills demonstrated through managing multiple tasks and deadlines
- Highly organised with the ability to manage competing priorities independently
- Confident communicator with suppliers, contractors, and team members
- Comfortable using Microsoft Office, Google Workspace, Canva, and task-tracking tools
- Willingness to work flexible hours during the opening period as required
- Responsible, trustworthy, and detail-oriented
