Contracts, Compliance & HR Operations Intern

Role Purpose
This intern supports the HR department by combining contract compliance, employee master data accuracy, and operational HR support across a 100‑employeeorganisation. The role strengthens areas often overlooked by external vendors —contract correctness, lifecycle tracking, and data integrity — while also contributing to performance management, benefits administration, and day‑to‑day HR operations.
Responsibilities
1. Employment Contract Review & Compliance Audit
- Review employment contracts using standard checklists aligned with the Singapore Employment Act.
- Flag missing or non‑compliant clauses such as incorrect notice periods or invalid overtime terms.
- Prepare compliance audit reports for Senior / Lead HR Associate approval.
- Maintain version control and update templates when regulations change.
2. Employment Contracts Management & Lifecycle Tracking
- Maintain a central repository for all client contracts (Google Drive / HRIS).
- Track probation end dates, renewal dates, and fixed‑term expiries.
- Send automated reminders 30 days before key milestones.
3. Employee Master Data Management
- Update and maintain accurate employee records in HRIS (personal data, job titles, reporting lines, contract versions).
- Ensure alignment between contract terms and HRIS data (salary, allowances, working hours, benefits eligibility).
- Perform monthly data audits to ensure 98% accuracy — matching the KPI standard of the role.
- Support creation and maintenance of digital personnel files for all 100 employees.
4. Performance Management Support
- Assist HR in preparing performance appraisal forms and ensuring correct versioning.
- Track submission status for supervisors and employees.
- Update performance records in HRIS after each cycle.
- Ensure probation evaluations are completed on time (linked to contract lifecycle tracking).
5. Benefits Administration Support
- Maintain records of employee benefits eligibility (medical, allowances, insurance, etc.).
- Ensure benefits information in HRIS matches contract terms and renewal dates.
- Support monthly reconciliation of benefits claims and entitlements.
- Assist employees with basic benefits queries and escalate complex cases to HR Associates.
6. General HR Support
- Assist with onboarding documentation: contract issuance, personal data forms, policy acknowledgements.
- Support offboarding by ensuring final documents (resignation acceptance, last‑day letters) match contract terms.
- Help maintain HR policies, SOPs, and compliance checklists.
- Provide administrative support for HR projects, audits, and reporting.
