Network Asset Inventory Specialist

POSITION SUMMARY

We are seeking a detail-oriented and technically proficient Network Asset Inventory Specialist to conduct a comprehensive physical verification and inventory optimization project for comapny's IT network infrastructure. This role involves physically verifying approximately 3,700 network assets across 450+ data centres and wire centres located throughout NUS buildings, ensuring data accuracy, implementing improved asset management processes, and developing sustainable inventory management frameworks aligned with industry best practices.

The successful candidate will play a critical role in establishing a robust foundation for ITasset management that supports operational excellence, compliance, and strategic planning.

KEY RESPONSIBILITIES

1. Physical AssetVerification & Site Visits

- Conduct systematic site visits to approximately 450 company's IT data centres and wire centres across all NUS buildings

- Physically verify approximately 3,700 network assets against the master inventory list

- Identify anddocument asset locations, conditions, and configurations

- Verify assetinformation including:

  • Asset tags and serial numbers
  • Model numbers and manufacturers
  • Physical location and rack positions
  • Connection status and configuration
  • Asset condition and operational status

- Access restricted areas following NUS security protocols and safety procedures

- Coordinate site access with building management and facility teams

- Plan efficient site visit routes to optimize time and minimize disruption

2. Documentation& Evidence Collection

- Capture high-quality photographic evidence for each verified asset

- Document discrepancies between physical assets and master records

- Record missing, unidentified, or undocumented assets discovered during site visits

- Identify assets requiring updates to master records (location changes, configuration updates, decommissioned status)

- Flag assets that cannot be identified or located for further investigation

- Maintain organized digital filing system for all evidence and documentation

- Ensure all photos include asset tags, labels, and contextual information (rack location, connectivity)

3. Network-Based Verification

- Perform online checks and network-based verification for identified network assets

- Utilize network management tools to validate asset connectivity and operational status

- Verify small form-factor items such as transceivers, SFP/SFP+ modules, and other modular components through network access

- Cross-reference network discovery data with physical inventory findings

- Document network-accessible assets that may not be physically accessible

- Identify assets recorded in inventory but not found in network or physically

4. Data Management& Reporting

- Update master inventory records with verified and corrected information

- Maintain accurate tracking of project progress against timeline milestones

- Generate weekly progress reports including:

  • Number of sites visited and assets verified
  • Discrepancies identified and resolved
  • Issues and blockers encountered
  • Forecast for completion timeline

- Provide dashboard-ready metrics and KPIs for stakeholder reporting

- Ensure data quality and integrity throughout the update process

- Flag critical discrepancies or security concerns for immediate escalation

5. Process Improvement & Analysis

- Analyze current inventory management practices and identify gaps

- Draft comprehensive improvement plan to maintain inventory accuracy and relevance

- Recommend tools, technologies, and automation opportunities

- Propose asset lifecycle management enhancements

- Develop risk-based asset criticality classification framework

- Identify opportunities for integration with ITSM processes (Change Management, Incident Management, CMDB)

- Benchmark againstindustry best practices

6. Standard Operating Procedures (SOP) Development

- Develop detailed SOPs for ongoing inventory management including:

  • New asset onboarding procedures
  • Asset decommissioning and disposal processes
  • Regular inventory cycle count procedures
  • Asset movement and relocation protocols
  • Integration with project and operational change processes
  • Inventory audit and reconciliation procedures

- Create user-friendly documentation with process flowcharts and checklists

- Include roles and responsibilities matrix for inventory stakeholders

- Ensure SOPs align with ITIL Asset Management and Configuration Management frameworks

REQUIREDQUALIFICATIONS

Educational Background

- Diploma in Information Technology, Computer Science, Network Engineering, or related field

Professional Experience

- Minimum 3-5 years of hands-on experience in IT infrastructure, network operations, or IT asset management

- Proven experience conducting physical IT asset inventories in enterprise environments

- Experience working in data centre environments with knowledge of safety and access protocols

- Previous involvement in IT asset management projects or inventory reconciliation initiatives

- Experience with network infrastructure components and enterprise networking equipment

TechnicalCompetencies

- Understanding ofnetwork infrastructure components:

  • Routers, switches, firewalls, load balancers
  • Wireless access points and controllers
  • Network modules (line cards, supervisor engines, power supplies)
  • Transceivers (SFP, SFP+, QSFP, XFP modules)
  • Patch panels, fiber distribution units, media converters

- Familiarity with major networking vendors: Cisco, Huawei, Aruba, Fortinet, Palo Alto, SolarWinds

- Basic knowledge of network protocols (TCP/IP, VLANs, routing protocols)

- Understanding of IT Asset Management principles and lifecycle management

- Knowledge of Configuration Management Database (CMDB) concepts

- Experience with asset tracking systems and inventory management software

- Understanding of asset depreciation, lifecycle stages, and disposal procedures

- Advanced Microsoft Excel skill: VLOOKUP, INDEX-MATCH, Pivot Tables, data validation and conditional formatting
