Summary

Support daily office operations andmaintain efficient workflows; assist with HR functions including processingwork passes and managing staff insurance. Provide administrative support toteams and management to ensure business activities run smoothly and in anorganized manner.

Key Responsibilities

  • Help to process work passes and manage staff insurance
  • Support HR functions such as new hire onboarding, issuing ID cards, and maintaining staff attendance records.
  • Manage daily office operations, including maintenance of equipment, supplies, and facilities.
  • Monitor inventory of office stationery, furniture, and consumables; place orders and restock as needed.
  • Serve as a point of contact for clients/visitors and coordinate meetings, schedule appointments.
  • Follow up on action items from meetings and ensure timely completion.
  • Arrange travel bookings (flights, accommodation, transport) and itineraries for staff and management.
  • Process travel claims, expense reports, and reimbursement requests in line with company policy.
  • Assist in organizing company events, training sessions, and team activities.
  • Update internal notices, office policies, and staff handbooks as required.
  • Perform other ad-hoc administrative tasks assigned by management.

Qualification

  • Diploma in any discipline
  • Strong organizational and time-management skills.
  • Good written and verbal communication.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office software.
  • Attention to detail and ability to handle confidential information.
  • Problem-solving skills and ability to work independently or in a team.
