HR Executive – Contract & Training Administration

Reports To: Project Manager

Employment: Full-time employee of VionData Partners – deployed on-site atClient

Contract Assignment: Up to 4 years (2-year firm + 2-year option).

Role Overview

The HR Executive manages contract management, training administration, workmen’s compensation, allowances/benefits, and overseas travel processing for Client.

Key Responsibilities

Contract Management:

  • Monitor contract expiry, extension, review, emplacement, and re-employment

  • Prepare and issue contract-related letters

  • Prepare completion bonus payout templates

  • Update Workday records for contract changes

Training Administration:

  • Publish courses for enrolment in Workday

  • Process staff registration and handle withdrawals/replacements

  • Update learning hours in Workday (~3,356 records per year)

  • Manage invoices received (~1,106 per year)

  • Monitor training budgets and highlight courses above $2,000

  • Support in-house courses/workshops logistics

Workmen Compensation:

  • Monitor and process workmen compensation claims

  • Calculate compensation amounts and submit claims

  • Provide quarterly updates on workmen compensation status

Allowances/Benefits:

  • Monitor and update Workday for allowance changes

  • Perform annual handphone allowance audit checks

  • Perform MSO balance transfer exercises

Overseas Travel:

  • Process approved overseas trips (~170 per year)

  • Purchase travel insurance and prepare letters of understanding

  • Process Overseas Daily Allowance claims

Annual Workload:

  • Contract management: ~143 cases per year

  • Training invoices: ~1,106 per year

  • Overseas travel: ~170 cases per year

  • Workmen compensation: ~20 cases per year

Requirements

Experience:

  • Minimum 2 year of relevant HR experience

  • Singapore public sector experience strongly preferred

  • Familiarity with Workday is mandatory

  • Experience with other HR systems (e.g., Times HR, SAP SuccessFactors) is an advantage

Qualifications:

  • Diploma or Degree in Human Resources, Business Administration, or related field

Skills:

  • Proficiency in Workday HR system

  • Knowledge of training administration and contract management

  • Strong organizational and multitasking abilities

  • Meticulous with attention to detail

  • Good communication skills

Other Requirements:

  • Available for on-site work at Client premises

  • Flexible for overtime during peak periods.

Compensation Package - Monthly Basic Salary

Amount (SGD) $4600 – $7500
