Senior Administrator

We are seeking a dedicated and passionate Senior Administrator to join our team. The Senior Administrator reports to the Childcare Admin Manager and supports finance-related operations, through accurate documentation, timely processing, and effective coordination with internal and external stakeholders.
Responsibilities
Invoicing and Billing
· Support monthly billing for student fees.
· Assist in billing for enrichment programs, field trips, uniforms, etc.
· Handle adjustments due to, but not limited to: GSII, advance payments, credit notes.
· Manage refund processes and documentation.
· Maintain distribution list and perform enrolment reconciliation.
Trade Debt Support
· Collate outstanding payment data from the Finance team.
· Send reminders to parents regarding overdue fees.
· Assist in processing late fee adjustments.
Fund Tracking for Events
· Monitor incoming funds for events and special purposes.
· Generate receipts for incoming funds.
· Create and maintain attendance name lists for event participants
· Generate statement of account for events/fieldtrips etc.
Petty Cash Support
· Collate receipts and consolidate in a report
· Submit report to Finance for claim
Procurement Administration
· Assist in creating new vendor profiles.
· Prepare and submit Purchase Requests (PR).
· Process and submit invoices and supporting documents for payment.
· Support the filing and organization of documents related to procurement activities.
ECDA CMS System Updates
· Maintain and update records in the ECDA CMS system as required.
· Ensure accuracy and timeliness of data entry related to student and financial information.
Requirements
· Minimum Higher Nitec Certificate in Business Administration, Financial Services, or related field.
· At least 2 years of administrative experience in childcare industry preferred.
· Service-oriented with strong interpersonal and communication skills.
· Strong team player who is adaptable to changes
· Proficient in Microsoft Office (Excel, Word, Outlook).
· Familiarity with finance systems and ECDA CMS is an advantage.
