Job Summary

As an Assistant Project Manager at JLL, you will independently manage smaller or less complex projects through all phases, coordinating teams and stakeholders to deliver projects on time, within budget, and to quality standards under senior guidance.

Responsibilities

  • Manage all phases of smaller or less complex projects from initiation to handover and closure under senior project management guidance
  • Coordinate project teams and stakeholders to maximize contributions and achieve project objectives
  • Prepare and ensure timely completion of monthly project deliverables including Project Delivery Plans, Status Reports, Cost Reports, Meeting Agendas, and Minutes
  • Maintain and forecast project budgets to ensure completion within client requirements
  • Develop and update detailed project schedules with clear milestones to ensure successful delivery
  • Establish and maintain an accurate risk register, identifying and mitigating project risks
  • Assist in preparing Project Control Group (PCG) reports and participate in PCG meetings
  • Chair weekly project meetings and draft meeting agendas and minutes
  • Prepare Vendor Request for Proposal (RFP) documents, including scope writing and tendering
  • Participate in value engineering and buildability analysis to minimize risks and optimize project outcomes
  • Assist in contract administration, ensuring contracts with clients, consultants, and suppliers are properly executed and maintained in compliance with legal requirements
  • Manage vendor contract administration professionally to protect client and JLL commercial interests
  • Maintain anticipated cost reports including cash flows and accruals, ensuring timely invoice submission and client approvals
  • Review and recommend contract variations with supporting documentation for client submission and approval
  • Implement and maintain JLL Health, Safety, and Environmental systems, ensuring compliance with Safety and Environmental Plans
  • Oversee project quality control systems to ensure deliverables meet JLL standards and client expectations
  • Manage project close-out activities including contractual documents and financial close-out
  • Support construction phase management by ensuring appropriate supervision and quality controls are in place
  • Utilize JLL technology platforms such as AdaptiveWork, Jaggaer, and ProjectToolkit for project management and reporting
  • Develop and maintain positive client relationships to promote repeat business and enhance JLL’s profile
  • Assist in managing project revenue and payment cycles to minimize bad debt
  • Support preparation of Expressions of Interest (EOIs) and pricing submissions to secure new projects
  • Contribute to development of quality templates and participate in external industry award nominations to promote JLL

  • Set stretch targets for personal performance and actively participate in team operational planning and problem-solving

  • Analyze completed projects to identify successes and lessons learned, sharing insights to improve future project delivery

Required competencies and certifications

  • Proficiency in Microsoft Office Suite, SharePoint, and Microsoft Project for project management and reporting
  • Experience managing cost reporting systems and commercial contract administration
  • Understanding of legal, planning, commercial, and delivery constraints relevant to projects
  • Knowledge of ISO14001, ISO45001, ISO9001 standards and Environmental Health and Safety legislation, with ability to assist in maintaining accreditations
  • Ability to assist in commercial negotiations within established authority limits
  • Understanding of various project delivery methods including Project Management, Construction Management, Managing Contractor, Warranted Price, and Lump Sum
  • Degree in Project or Construction Management or related discipline, or equivalent combination of education and experience

Preferred competencies and qualifications

  • Experience in design, construction, or project management for at least three years
  • Ability to prepare project proposals and deliver presentations to support business development
