Job Summary

Manage administrative, accounting, payroll, and human resource functions for a maintenance company, ensuring accurate documentation, timely payments, compliance with foreign worker regulations, and effective employee management.

Responsibilities

  • Prepare and submit accurate company quotations, sales tracking reports, and invoices to support revenue collection.
  • Compile service and photo reports to facilitate invoicing processes.
  • Generate sales tracking reports and prepare invoices to ensure timely billing.
  • Create payment reminders and Statements of Account (SOA) based on outstanding balances and coordinate with supervisors to collect payments promptly.
  • Process all cheque payments accurately and on schedule.
  • Maintain comprehensive medical, Work Injury Compensation (WIC), and dormitory records for foreign workers to ensure regulatory compliance.
  • Manage company staff employment records, ensuring accuracy and confidentiality.
  • Liaise with the Ministry of Manpower (MOM) for foreign employee applications and resignations to maintain legal compliance.
  • Prepare staff payroll by the 5th of each month, ensuring accuracy and timely disbursement.
  • Compile and submit monthly administration and human resource reports by the 7th of each month.
  • Maintain all administrative records to support company operations.
  • Develop and update job descriptions to align roles with company needs.
  • Coordinate onboarding and training programs to integrate new employees effectively.
  • Conduct performance evaluations and manage employee performance to support organizational goals.
  • Administer employee payroll, benefits, and leave management to maintain workforce satisfaction.
  • Foster employee dedication and commitment through engagement initiatives.
  • Prepare and maintain all company administration and human resource filings in an organized manner.
