You will support the planning, administration, and operational delivery of CET courses by managing course proposals, registration, funding, invoicing, reporting, and compliance processes across key systems and stakeholders. The role ensures accurate record-keeping, timely execution of operational tasks, smooth learner and company support, and effective coordination with internal and external parties.

The successful candidate will be offered an initial one-year contract, with the potential for subsequent renewals of a longer duration, subject to performance.

Duties & Responsibilities

1) Course Proposal, Approval, and Funding

  • Prepare and upload course proposals, assessment templates, and instructor CVs into the Curriculum Management System (CMS).
  • Route CMS submissions to the relevant committees for review and approval.
  • Ensure approved courses are published in CMS.
  • Apply for SSG funding where applicable and track funding outcomes.
  • Receive and record TGS numbers from SCALE.

2) Course Setup and System Administration

  • Ensure course information is synced to registration portals (such as L3AP) before registration opens.
  • Set up, open, and close course runs and intakes in L3AP.
  • Create company profiles in L3AP where required.
  • Update learners’ assessment pass/fail status in L3AP.

3) Registration and Learner Support

  • Assist companies and learners with course enquiries and registration-related troubleshooting.
  • Resolve issues related to learner data, sponsorship details, and profile discrepancies.
  • Ensure self-sponsored learners make payment before class commencement.

4) Course Delivery and Operational Coordination

  • Book venues for course runs.
  • Ensure course runs and sessions are reflected in TP Gateway before class commencement.
  • Track class confirmation and coordinate operational readiness for course delivery.

5) Attendance, Assessment, and Compliance Tracking

  • Update enrolment records in TP Gateway within the required timeline.
  • Update attendance records in TP Gateway after each course session.
  • Update assessment records in TP Gateway after course completion.
  • Check TP Gateway to ensure all records are uploaded successfully.
  • Ensure claims are transferred correctly for SSG drawdown/disbursement.

6) Finance, Billing, and Payment Follow-Up

  • Check invoicing details and troubleshoot billing errors.
  • Monitor payment status and send reminders for outstanding payments.
  • Follow up on payments not yet received.

7) Data Management, Reporting, and Evaluation

  • Set up evaluation questions in Qualtrics for unfunded courses.
  • Retrieve survey results from Qualtrics.
  • Clean and standardise data by correcting spelling, removing empty cells, and formatting organisation names.
  • Upload results to the FASS CET Dashboard.
  • Email reports to the relevant department and save collated copies in Dropbox.

8) Records Management and General Administration

  • Save copies of course applications, reports, and related documents in Dropbox.
  • Maintain accurate and complete administrative records for audit and reference purposes.
  • Perform other administrative duties supporting smooth course operations.

Qualifications

  • Recognised degree in any discipline.
  • Minimum 5 years of relevant experience in programme administration, course operations, education/training administration, or executive support.
  • Experience in managing learner registration, reporting, invoicing, and stakeholder coordination is preferred.
  • Experience working with CET, funded programmes, or academic administrative systems would be an advantage.
  • Familiarity with NUS systems such as CMS, L3AP, Qualtrics, and reporting dashboards, as well as TP Gateway would be an advantage.
  • Good understanding of funding, registration, invoicing, and compliance processes.
  • Strong administrative and organisational skills with excellent attention to detail.
  • Ability to manage multiple deadlines and coordinate across different stakeholders.
  • Proficiency in Microsoft Office, especially Excel, Word, and PPT.
  • Strong data handling, checking, and reporting skills.
  • Good written and verbal communication skills.
  • Ability to work independently, exercise sound judgment, and follow through on issues promptly.
