Job Description: Clinic Experience & Operations Executive

Position Summary

The Clinic Experience & Operations Executive ensures that clients have a smooth, private and welcoming experience when they visit Reiwa Health.

This role supports front-desk operations, payments, room readiness, clinic upkeep, stock and daily administrative coordination. You will work closely with the clinical team and remote coordinator to ensure clients receive clear follow-up and no operational details are missed.

This is not a medical advisory role. Clinical, sensitive or unclear matters must be escalated to the relevant practitioner.

Key Responsibilities

1. Client Experience & Front Desk

  • Welcome and assist clients with check-in, appointments, payments and basic enquiries.

  • Keep the waiting experience calm, discreet and well managed.

  • Support bookings, rescheduling, rebooking and follow-up handovers.

2. Clinic Operations

  • Prepare and reset consultation, counselling and physiotherapy rooms.

  • Complete daily opening and closing duties.

  • Maintain a clean, organised, barefoot-friendly and client-ready clinic environment.

3. Stock, Records & Maintenance

  • Monitor supplies, expiry dates, low-stock items and clinic inventory.

  • Maintain accurate client, payment and operational records.

  • Flag maintenance, equipment or supply issues early and follow through on required action.

4. Service Improvement & Coordination

  • Identify recurring client questions, delays or service gaps.

  • Work with clinical team on client handovers and pending follow-up.

  • Suggest practical improvements to clinic flow, client comfort and daily operations.

  • Escalate medical, sensitive, unclear or non-standard matters promptly.

Requirements

  • Minimum 3 years’ experience in customer service, clinic operations, healthcare administration, hospitality or premium service.

  • Experience in a clinic, wellness, therapy, physiotherapy or specialist healthcare setting is preferred.

  • Strong spoken and written English.

  • Warm, discreet and professional with clients who may feel anxious or embarrassed.

  • Organised, detail-oriented and reliable with follow-up.

  • Comfortable using booking systems, CRM systems, payment systems and spreadsheets.

  • Able to work independently, maintain confidentiality and know when to escalate.

Working Conditions

  • Full-time, on-site role at Reiwa Health, Singapore.

  • Requires standing, room preparation, stock handling and active movement throughout the day.
