Food Quality Assurance & Compliance Assistant

The QA & Compliance Assistant is responsible for supporting the Quality Assurance and Compliance function while providing administrative support to ensure the smooth day-to-day operations of the central kitchen and restaurant outlets. The role involves conducting quality inspections, monitoring compliance with food safety standards, maintaining documentation, and assisting with administrative coordination.

Key Responsibilities

Quality Assurance & Compliance

  • Conduct routine quality and hygiene inspections at the central kitchen, restaurants, and retail outlets.

  • Ensure food preparation, storage, and handling comply with company SOPs and food safety requirements.

  • Monitor cleanliness, personal hygiene, housekeeping, and workplace safety standards.

  • Perform quality checks on food products and report any non-conformances.

  • Ensure consistency in food quality, portioning, and presentation across all outlets.

  • Assist in ensuring compliance with HACCP, Halal, FSSC 22000 (where applicable), and regulatory requirements.

  • Support internal and external audits.

  • Record inspection findings and prepare inspection reports.

  • Follow up on corrective and preventive actions to ensure issues are resolved promptly.

  • Maintain QA records, checklists, and compliance documentation.

  • Investigate and follow up on customer feedback or complaints relating to food quality and safety.

  • Work closely with outlet and kitchen teams to promote a strong food safety and quality culture.

Administrative Duties

  • Maintain and organise QA records, licences, certificates, permits, and company documentation.

  • Prepare reports, meeting minutes, letters, and other administrative documents.

  • Monitor and update SOPs, forms, and quality records.

  • Coordinate meetings, training sessions, audits, and inspections.

  • Track expiry dates of licences, certifications, staff training, and calibration schedules.

  • Liaise with internal departments, suppliers, contractors, and regulatory authorities on administrative matters.

  • Assist in data entry, filing, document control, and maintaining accurate records.

  • Support procurement of office and QA-related supplies when required.

  • Provide general administrative support to Management and other departments as assigned.

  • Carry out any other duties assigned by Management.

Requirements

  • Diploma or ITE in Food Science, Food Technology, Quality Assurance, Business Administration, or a related field.

  • Fresh graduates are welcome to apply.

  • Basic knowledge of food hygiene and food safety practices.

  • Knowledge of HACCP, Halal requirements, or FSSC 22000 is an advantage.

  • Good organisational and time management skills with strong attention to detail.

  • Proficient in Microsoft Office applications (Word, Excel, Outlook).

  • Good communication and interpersonal skills.

  • Able to travel between the central kitchen and restaurant outlets across Singapore when required.

Preferred

  • Prior experience in QA, administration, F&B, or food manufacturing is an advantage.
