Sales & Marketing Support Executive

The Role
We are looking for a Sales & Marketing Support Executive to provide strong administrative and coordination support to the sales team, ensuring accurate order processing, timely customer communication, smooth logistics coordination, and effective internal follow-up with accounts, supply chain, technical, warehouse, and logistics teams. The role will also support basic marketing activities such as website updates and event coordination when required.
The ideal candidate should be meticulous, well-organized, customer-focused, responsible, and able to manage multiple priorities independently while working closely with different departments in a fast-paced environment.
Sales Support Responsibilities (90%)
- Manage customer inquiries received through email, phone, or other communication channels.
- Provide customers with quotations and information on product availability, delivery schedules, and delivery locations.
- Ensure accurate and timely processing of customer orders.
- Prepare supporting documentation, input orders into the company’s system, and monitor order status.
- Handle special orders for out-of-stock or non-standard items and coordinate with the supply chain and warehouse teams to update customers upon availability.
- Collaborate with other departments, such as the technical team, to resolve product or technical inquiries.
- Coordinate with the accounts department on payments, deposits, refunds, and stock returns; liaise with the supply chain team on PR/PO processing; and work with logistics to confirm delivery dates.
- Independently manage shipping and customs invoicing and liaise with forwarders and shipping agents.
- Prioritize tasks effectively to meet deadlines and adapt quickly to changing priorities.
- Process and update purchase orders and related records in the system.
- Validate order confirmations against POs and system entries; notify the supply chain of any discrepancies.
- Verify supplier invoices against purchase orders and system data.
Marketing Support Responsibilities (10%)
- Update website as and when needed (training will be provided).
- Marketing event coordination.
Requirements
- Minimum GCE ‘O’ Level / Diploma or equivalent qualification in any discipline. Candidates with engineering or science background with a keen interest in a sales support role are welcome to apply.
- At least 4 – 5 years of relevant experience in sales or service coordinating role
- Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, CRM)
