About the Company
We are an established construction company in Singapore dedicated to delivering quality construction projects with professionalism, integrity, and efficiency. We are looking for a motivated and detail-oriented Administrative & Accounts Assistant to support our office administration and accounting functions.
Key Responsibilities
Administrative Duties
Provide general administrative and clerical support to the management team.
Prepare, organise, and maintain project documents, contracts, correspondence, and filing systems.
Coordinate meetings, appointments, and office schedules.
Liaise with clients, subcontractors, suppliers, and relevant authorities.
Handle incoming calls, emails, and general office enquiries.
Manage office supplies and coordinate procurement when required.
Assist with project documentation, permit applications, and submission of documents.
Accounts Duties
Prepare and process invoices, quotations, purchase orders, delivery orders, and payment vouchers.
Perform data entry for accounts payable and accounts receivable.
Follow up on outstanding payments and reconcile customer and supplier statements.
Assist in preparing monthly financial reports and supporting documents.
Maintain accurate accounting records and filing.
Support payroll administration and employee claims processing.
Assist with GST reporting, audits, and other accounting duties as required.
Work closely with the external accountant and auditors.
Requirements
Minimum Diploma in Business Administration, Accounting, Finance, or a related discipline.
At least 5 years of relevant administrative and accounting experience. Experience in the construction industry is an advantage.
Proficient in Microsoft Office, especially Excel and Word.
Experience with accounting software such as QuickBooks, MYOB, Xero, AutoCount, or similar will be an advantage.
Good organisational, communication, and interpersonal skills.
Meticulous, responsible, and able to maintain confidentiality.
Able to work independently while managing multiple priorities in a fast-paced environment.
