Service Coordinator / Operations Executive (Air-Conditioning & Mechanical Ventilation - ACMV)

Job Summary

We are seeking a proactive and organized professional to coordinate daily ACMV service and project operations, ensuring efficient scheduling, client and technician liaison, and timely completion of jobs from start to finish.

Responsibilities

  • Coordinate daily air-conditioning servicing, maintenance, and installation schedules to optimize workflow and resource allocation
  • Liaise effectively with clients, technicians, and subcontractors to ensure smooth execution of service and installation works
  • Respond promptly to customer enquiries, service requests, and complaints to maintain high customer satisfaction
  • Prepare and issue accurate service reports, quotations, invoices, and related documentation to support operational transparency
  • Conduct site visits to assess technical issues, discuss requirements, and engage with clients for project clarity (if required)
  • Coordinate procurement of materials, spare parts, and equipment to maintain uninterrupted service operations
  • Monitor and maintain inventory levels of spare parts and consumables to prevent shortages and delays
  • Track work progress and ensure timely completion of service jobs according to schedule and quality standards
  • Maintain accurate service records, job schedules, and operational documentation for effective reporting and compliance
  • Provide general administrative and operational support to the service team to enhance overall efficiency
  • Perform other ad-hoc duties as assigned to support team and project needs

Preferred competencies and qualifications

  • Diploma, Higher NITEC, NITEC, or equivalent qualification
  • Experience in air-conditioning, mechanical and electrical (M&E), or facilities management sectors
  • Basic technical knowledge of air-conditioning and mechanical ventilation (ACMV) systems
  • Proficient in Microsoft Office applications including Word, Excel, and Outlook
  • Strong organizational and communication skills with the ability to manage multiple tasks efficiently
  • Ability to work independently in a fast-paced environment
  • Ability to communicate in both English and Mandarin to liaise with Mandarin-speaking clients and technicians
