Procurement Officer / Executive

Job Summary
The Procurement Officer / Executive is responsible for managing the end-to-end procurement process, ensuring the timely sourcing, purchasing, and delivery of quality goods and services at competitive costs. The role works closely with management, vendors, shipping agencies, and internal stakeholders to support operational requirements, optimize procurement efficiency, and maintain compliance with company policies and procedures.
Key Responsibilities
- Manage the full procurement cycle, including sourcing, purchasing, order processing, and supplier management.
- Process and maintain all procurement-related documentation, including Purchase Requisitions (PRs), Purchase Orders (POs), Delivery Orders (DOs), and supplier invoices.
- Source, evaluate, negotiate with, and develop strong relationships with suppliers and vendors to ensure quality, reliability, and cost-effectiveness.
- Coordinate with shipping agencies, freight forwarders, and suppliers to ensure timely delivery of materials and equipment.
- Monitor inventory requirements and forecast procurement needs to ensure adequate stock levels and project readiness.
- Ensure compliance with company procurement policies, procedures, and quality standards.
- Conduct vendor evaluations, assessments, and qualification processes to maintain a reliable supplier base.
- Maintain accurate procurement records, contracts, pricing information, and supplier databases to support audits and regulatory compliance.
- Identify opportunities for cost savings, process improvements, and procurement efficiency enhancements.
- Collaborate with internal departments to ensure procurement activities meet operational and project requirements.
- Handle procurement-related issues, discrepancies, and supplier performance concerns in a timely manner.
- Perform other ad-hoc duties and responsibilities as assigned by management
Requirements
Qualifications & Experience
- Diploma in Supply Chain Management, Logistics, Purchasing, Business Administration, or an equivalent qualification.
- Minimum 3 years of relevant experience in procurement, purchasing, or supply chain management.
- Experience in the construction, engineering, or related industries will be an added advantage.
- Familiarity with procurement systems, ERP software, and order management processes is preferred.
