Roles& Responsibilities

1. Responsible for front desk and administrative support, including greeting visitors, answering and transferring phone calls, and receiving and dispatching mail and couriers;

2. Responsible for the day-to-day management of office premises, including maintaining the office environment, overseeing workplace safety, and liaising with property management;

3. Responsible for logistics support for company meetings, including venue setup, tea and refreshment arrangements, post-meeting cleanup, and other related support;

4. Responsible for company travel management, including arrangements for flights, hotels, and transportation, as well as related coordination and support;

5. Responsible for the procurement, distribution, registration, and inventory management of office supplies and administrative materials;

6. Responsible for the daily management, maintenance, and repair follow-up of office equipment, furniture, and fixed assets, including coordination and management of company vehicles, cleaning services, and other related matters;

7. Responsible for office area safety, hygiene, energy conservation, emergency supplies management, and other related matters;

8. Responsible for the daily management of company archives, including document sorting, filing, preserving, and maintaining archive registers, as well as coordinating, transferring, accessing, and managing outsourced archive storage;

9. Responsible for departmental budget execution, procurement management, reimbursement documentation and processing, register maintenance, and expense statistics and analysis;

10. Responsible for improving administrative management policies, procedures, and registers, and promoting the implementation of such policies and procedures;

11. Other ad-hoc duties as assigned by the Head of Department.

Requirements

1. Bachelor in Business Studies/ Administration/ related field or equivalent;

2. Possession of a Singapore Class 3 or Class 3A driving licence is preferred;

3. Min. 2 years of relevant experience;

4. Competency in Microsoft applications including Word, Excel, Outlook and Powerpoint;

5. Excellent time management skills and telephone etiquette;

6. Excellent people skills and communication skills;

7. Good stress tolerance with proven ability to manage multiple priorities;

8. Good ethics and professional conduct, and with strong sense of responsibility and teamwork spirit;

9. Excellent command of English and Chinese languages (as the position needs to frequently communicate with English/Chinese speaking stakeholders verbally/ in writing as well as to prepare and proof-read English/Chinese official documents and presentations whenever appropriate).
