What You'll Do

As an Executive Assistant based in Singapore, you will play a pivotal role in supporting the CEO and management team through a blend of classic executive assistance duties combined with project coordination responsibilities.

  • Manage complex calendars, appointments, and travel arrangements for the CEO with meticulous attention to detail, ensuring all commitments are seamlessly coordinated.
  • Organise steering and leadership team meetings by preparing agendas, handling logistics, setting up equipment, taking minutes, and diligently tracking post-meeting actions to completion.
  • Prepare, proofread, and maintain high-quality documentation, reports, and presentations that meet exceptional standards for internal and external audiences.
  • Serve as the primary point of contact for corporate visitors, clients, and partners while handling confidential information with utmost discretion at all times.
  • Support the CEO in both strategic and operational projects by acting as project coordinator or project manager when required, ensuring timely delivery of key initiatives.
  • Coordinate timelines, risks, and interdependencies across multiple business functions to facilitate effective strategy execution throughout the organisation.
  • Develop decision-making materials, business analyses, and data models for use by leadership teams and corporate committees to inform critical decisions.
  • Draft content for internal communications such as leadership presentations as well as external communications that reflect the organisation’s values and objectives.
  • Facilitate clear communication between the CEO’s office and internal stakeholders across departments regarding decisions, actions, deadlines, and ongoing initiatives.
  • Plan and coordinate executive events including townhalls and workshops for the Singapore entity to foster engagement among employees.

What You Bring

To excel as an Executive Assistant in this role based in Singapore’s vibrant business landscape, your background should include substantial experience supporting senior executives or management teams—ideally within multinational organisations or consulting environments.

  • A degree in Business Administration, Communications, Engineering or a related field is preferred but not mandatory if equivalent experience is demonstrated through previous roles.
  • At least 3–7 years of proven experience as an Executive Assistant or in consulting/project roles supporting senior management within fast-moving environments.
  • Demonstrated ability to prepare executive-level analyses or presentations while managing complex schedules under time pressure without compromising quality or accuracy.
  • Exceptional organisational skills paired with advanced administrative abilities that allow you to manage competing priorities effectively.
  • Outstanding written and verbal communication skills enabling you to collaborate confidently with stakeholders at all levels across global teams.
  • Proficiency in Microsoft 365 applications including Outlook, Teams, PowerPoint, Excel, and OneDrive is essential for daily operations.
