We recruiting a Business Operations Administrator (Maternity Cover) to support the operations, administration, and portfolio management activities.

This maternity cover role will serve as a key operational partner to the Head of Department in Singapore and the broader APAC team. The successful candidate will be responsible for ensuring smooth business operations, portfolio administration, data management, reporting, compliance activities, company onboarding and offboarding, event execution, financial administration, and stakeholder engagement.

As part of a small and highly collaborative team, this individual will play a critical role in maintaining operational excellence while delivering a positive experience for portfolio companies, partners, visitors, and internal stakeholders.

Responsibilities

  • Lead and manage the end-to-end company onboarding and offboarding process, including membership agreements, renewals, stakeholder communications, and orientation activities.
  • Coordinate the operational execution of stakeholder engagement activities and ensure compliance with Healthcare Compliance (HCC) requirements and approval processes.
  • Support the portfolio team with data management, reporting, audit readiness, and documentation governance.
  • Maintain portfolio metrics, databases, and support quarterly reporting and statistics submissions to the Singapore Economic Development Board (EDB).
  • Maintain audit-ready records, including approvals, agreements, statements of work (SOWs), procurement documents, and supporting materials.
  • Manage monthly billing activities, invoices, payment reports, and rider trackers in collaboration with the Finance team.
  • Facilitate cross-charge submissions and supporting documentation as required.
  • Review procurement documents, invoices, and financial records to ensure completeness, accuracy, and compliance with company policies.
  • Prepare and submit accrual requests.
  • Support finance team to maintain accurate financial records and documentation for internal reviews and audit purposes.
  • Coordinate procurement activities for marketing programs, including purchase requests, purchase orders, cheque requisitions, vendor onboarding, and invoice processing.
  • Provide operational and administrative support for marketing initiatives, events, and community engagement activities.
  • Provide administrative support, including travel arrangements, expense management, calendar coordination, meeting logistics, and special projects. Manage expense reporting and receipt reconciliation.
  • Coordinate the printing and installation of company logos for new member companies, and manage the addition, removal, and archival of member and alumni company logos.
  • Provide general site administrative support, including office supplies management, inventory monitoring, mail and package coordination, and facilities-related requests.
  • Coordinate and manage site visits, tours, and visitor logistics, ensuring a professional and positive experience for guests and stakeholders.

Qualifications

  • Minimum Diploma/Degree with at least 2 years of experience in business operations, administration, program coordination, office management, procurement, finance operations, or related functions.
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
  • Experience with procurement and finance processes preferred.
  • Comfortable working across multiple systems and tools
  • Strong stakeholder management skills
  • Experience supporting government reporting, compliance activities, or audit processes preferred.
