Job Overview

We are looking for a proactive and organised Administrative & CCA Support Officer to provide comprehensive administrative, operational, and co-curricular support within a school environment. The successful candidate will assist with front-desk operations, student administration, school events, publications, and promotional activities while working closely with school leaders and teachers.

Key Responsibilities

Administrative Support

  • Perform receptionist and front-desk duties.

  • Attend to incoming phone calls, walk-in visitors, and email enquiries.

  • Coordinate transport services for students and school activities.

  • Provide logistics and administrative support for school operations.

  • Handle students who are unwell or injured and accompany them to the hospital when required.

  • Sort incoming mail and distribute accordingly.

  • Perform filing, data entry, document preparation, and other general administrative duties.

  • Assist in processing students' Financial Assistance Scheme (FAS) applications.

  • Carry out financial and administrative tasks assigned by the Administration Manager or School Leaders.

CCA & Student Activities Support

  • Assist teachers in organising and supporting Co-Curricular Activities (CCA).

  • Provide operational support during competitions and student programmes.

  • Assist with school celebrations, including Speech Day, Arts Panache, Sports Carnival, and other major events.

  • Support post-examination programmes and school-wide activities.

Publications & School Promotions

  • Take photographs and videos during school events.

  • Edit and enhance photographs and videos using multimedia software.

  • Upload approved content to the school's social media platforms.

  • Develop marketing and publicity materials to promote the school's programmes and achievements.

  • Assist in organising promotional talks and outreach activities for primary schools.

  • Maintain and archive digital photographs and videos.

  • Support the management of the school's Facebook and other social media platforms.

Risk Assessment Management

  • Consolidate and maintain Risk Assessment Management System (RAMS) reports.

  • Assist with documentation and record management related to school activities.

Requirements

Qualifications

  • GCE "A" Level or equivalent qualification.

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

  • Fluent in spoken and written English.

  • Ability to speak an additional language will be an advantage.

Experience

  • Previous experience in administrative or office support roles.

  • Experience working in a school environment is an advantage but not mandatory.

Preferred Skills

  • Photography and videography skills.

  • Multimedia editing using applications such as Canva, Adobe Photoshop, Adobe Premiere Pro, CapCut, or similar software.

  • Strong organisational and multitasking abilities.

  • Good interpersonal and communication skills.

  • Able to work independently as well as in a team.

  • Responsible, detail-oriented, and able to meet deadlines.
