RESPONSIBILITIES
- Manage the FFL main email account. Daily checks of incoming enquiries and referrals; updating and forwarding to relevant team members; sorting out the emails into the respective folders.
- Manage the FFL main account calendar (Outlook). Ensuring events are updated. Events include: programme runs, room bookings, team leave, internal and partner meetings, etc.
- Manage and update the FFL Programme Calendar of events. Keeping track of necessary ‘pre' and ‘post' tasks that are required and updating team members of any priority tasks.
- E-flyer design: maintain and update current set of e-flyer designs on Canva; creating e-flyers for required programmes.
- gov.sg (BSG): Create and update the events listing. Checking sign-ups for incoming programmes/events. Updating participant attendances for ongoing events.
- Manage MS forms platform: ePREP, creating and/or customizing registration (topical workshops) and feedback forms for programmes and events.
- TPOL: Receive and acknowledge TPOL sign-ups, creating and issuing TPOL login codes to participants. Following up on TPOL participants and updating for reporting numbers.
- ePREP: Receive and acknowledge ePREP sign-ups, creating and issuing ePREP login codes to participants. Following up on ePREP participants and updating for reporting numbers.
- Data consolidation: Extracting and inputting all participant data (registration/feedback) from sources (BSG/forms) into respective event folder.
- Data for quarterly reporting: inputting and computing relevant data required for quarterly reporting into official templates.
- Manage FFL Zoom account: creating events, hosting and supporting online/hybrid events, tracking Zoom participation numbers.
- Creating/designing updated FFL leaflets, standies and other collaterals; liaising with vendors for production
- Supporting logistics for ongoing events/programmes
- Storage management: ensuring proper storage of FFL collaterals and resources, maintaining updated list
- Facility management: Upkeep and maintenance of office environment. Liaising with vendors/contractors.
QUALIFICATIONS
- Diploma in Business Administration or Social Work
- Other disciplines can be considered
