The Lee Kong Chian School of Medicine (LKCMedicine) trains doctors who put patients at the centre of their exemplary care. The School, which offers both undergraduate and graduate programmes, is named after local philanthropist Tan Sri Dato Lee Kong Chian. Established in 2010 by Nanyang Technological University, Singapore, in partnership with Imperial College London, LKCMedicine aims to be a model for innovative medical education and a centre for transformative research. The School’s primary clinical partner is the National Healthcare Group, a leader in public healthcare recognised for the quality of its medical expertise, facilities and teaching. The School is transitioning to an NTU medical school ahead of the 2028 successful conclusion of the NTU-Imperial partnership to set up a Joint Medical School. In August 2024, we welcomed our first intake of the NTU MBBS programme, that has been recently enhanced to include themes like precision medicine and Artificial Intelligence (AI) in healthcare, with an expanded scope in the medical humanities. Graduates from the five-year undergraduate medical degree programme will have a strong understanding of the scientific basis of medicine, with an emphasis on technology, data science and the humanities.
LKCMedicine is seeking a highly organised, tech-savvy, and strategic Manager to join the Graduate Programmes team. The successful candidate will lead and provide critical administrative, operational, and digital oversight for the Continuing Education and Training (CET) programme portfolio. The Manager will act as the principal liaison for learners, adjunct faculty, and assessment personnel, ensuring an exceptional and seamless experience for all stakeholders. This role is central to the successful delivery of our programmes, involving the strategic direction of programme logistics, execution of complex assessments (OSCE and MMI), SSG course accreditation and management of the Training Adult Educators registry, leadership of learner support operations, and rigorous management of financial administration.
Responsibilities
Programme Administration & Logistics
Oversee, coordinate and optimise end-to-end logistics, including scheduling, venues, virtual platforms, and F&B provisions.
Direct, prepare and disseminate course materials for faculty and learners.
Lead the planning, coordination, and execution of complex assessment formats, specifically Objective Structured Clinical Examinations (OSCE) and Multiple Mini Interviews (MMI).
Manage and provide on-site/online administrative support processes during programme sessions.
Administer and analyse post-programme activities, including feedback evaluation and results collation to drive continuous improvement.
SSG Course Accreditation and Management of Training Adult Educators Registry
Coordinate and manage SkillsFuture Singapore (SSG) course accreditation submissions, renewals, amendments, and related documentation for CET programmes.
Maintain accurate course information, supporting documents, and audit-ready records in accordance with SSG requirements and internal governance processes.
Manage the Training Adult Educators registry, including onboarding records, appointment details, supporting qualifications, and timely updates to educator profiles.
Liaise with internal stakeholders, faculty, adjunct educators, and relevant administrative units to ensure accreditation and registry records remain complete, current, and compliant.
Learner & Stakeholder Support
Act as the primary escalation point for enquiries via email and phone.
Oversee the full learner registration, enrolment, and matriculation processes, ensuring data integrity.
Govern the maintenance of accurate learner records and manage the issuance of certificates.
Foster collaborative partnerships with faculty and examiners managing their schedules and material requirements.
Financial Management & Grant Administration
Manage financial administration independently, providing financial oversight for programmes under management.
Process procurement requests, such as raising purchase orders, ensuring strict adherence to university policies.
Process invoices and claims for payment from vendors and adjunct faculty.
Assist in collating documentation for SSG grant claims.
Perform data entry for finance and learner enrolment.
Requirements
A recognised Bachelor's degree in Business, Communications, Information Technology, or a related field.
Minimum 5–8 years of proven experience in an administrative management, operational leadership, or senior customer service role.
Expert organisational and multitasking skills, with a proven ability to manage multiple high-level priorities, coordinate complex examinations (OSCE/MMI), and meet strict deadlines independently.
Demonstrated familiarity with SSG course accreditation processes and the management of Training Adult Educator registry records, including supporting documentation and compliance tracking.
Strong technical aptitude and demonstrated experience in managing and administering Learning Management Systems (LMS) such as NTU Learn, and Training Management Systems (TMS).
Highly meticulous with a keen eye for detail, particularly in financial governance and processing complex information.
Advanced interpersonal and communication (both written and verbal) skills, complemented by a strategic, customer-centric mindset.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
A proactive leader and collaborative team player who excels when working autonomously.
