The Opportunity

  • Our client, a leading global technology organization, is seeking an experienced Administrative Business Partner to support business leaders and teams based in Singapore.
  • This role requires a highly organised and proactive individual with strong experience in executive support, calendar management, travel coordination, event planning, expense management, and stakeholder engagement within a fast-paced multinational environment.
  • The successful candidate will play a key role in supporting leadership priorities, improving operational efficiency, coordinating team activities, and managing day-to-day administrative processes with professionalism and discretion.
  • Candidates who are able to start within short notice would be preferred.

The Talent

  • Minimum 4 years of administrative experience in a technology company, multinational corporation, or similar fast-paced environment
  • Prior experience supporting senior stakeholders, executives, or business teams
  • Proven experience in calendar management, meeting coordination, travel arrangements, and expense processing
  • Strong stakeholder management and interpersonal communication skills
  • Highly organised, detail-oriented, and able to manage confidential information
  • Ability to multitask effectively and manage competing priorities independently
  • Experience coordinating meetings, events, team activities, and business initiatives
  • Professional, adaptable, and comfortable working in an ambiguous and fast-moving environment
  • Strong written and verbal communication skills
  • Strong judgement and discretion when handling sensitive business matters
  • Ability to work independently while collaborating effectively with cross-functional teams

The Job

Executive Support & Calendar Management

  • Manage and maintain calendars for executives and teams, including scheduling, prioritisation, and conflict resolution
  • Coordinate meetings across different time zones and ensure effective preparation and follow-up
  • Prepare meeting agendas, presentation materials, and supporting documentation
  • Assist with meeting notes and action tracking where required

Travel & Expense Management

  • Coordinate domestic and international travel arrangements, including itineraries and business travel requirements
  • Support travel preparation activities such as documentation, scheduling, and logistics planning
  • Process expense reports, invoices, purchase orders, and budget-related activities accurately and efficiently

Administrative & Operational Support

  • Provide day-to-day administrative support including facilities coordination and workplace requests
  • Support office space planning, resource coordination, and operational requirements
  • Maintain accurate records, documentation, and administrative processes
  • Identify opportunities for process improvements and contribute to operational initiatives

Team & Event Coordination

  • Plan and coordinate internal and external events including team activities, business events, workshops, and company programmes
  • Manage event logistics including venues, vendors, equipment, schedules, and budgets
  • Support employee engagement and workplace culture initiatives
  • Coordinate team meetings, offsites, and leadership activities

Communication & Stakeholder Coordination

  • Build strong working relationships with internal stakeholders and external partners
  • Manage communication requests and ensure timely follow-up on action items
  • Collaborate with cross-functional teams to support business priorities
  • Maintain a high level of professionalism and confidentiality at all times
