Event Organisation and Support

  • Assist in the end-to-end planning, coordination and execution of events including division meetings, team development and engagement such as townhalls and cohesion activities, trainings, community forums, and industry engagements
  • Liaise with venues and speakers
  • Manage end-to-end programme delivery involving programme design and execution, communications and logistics (including venue sourcing, catering, audio-visual requirements and RSVP management).
  • Prepare event materials such as event EDM and introduction presentation decks
  • Ensure delivery outcomes are met within scope, within stipulated timeline and within budget
  • Support post-event follow-ups

Procurement Advisor and Project Management

  • Facilitate and coordinate the communication between project and procurement teams
  • Guide project teams on procurement and contracting processes (e.g. AOR, tender preparation, evaluation and award) in consultation with procurement
  • Guide project teams to formulate procurement milestone plan with procurement team
  • Guide project teams on AOR, procurement approach and justifications
  • Maintain and organise tracking and monitoring on the status of critical project procurement milestones
  • Coordinates procurement activities between project and procurement teams and drive project teams meet project delivery timelines while maintaining procurement requirements.

CDOI Plans

Secretariat

  • Schedule and coordinate division and department meetings
  • Prepare, seek approval and circulate meeting agendas and materials in a timely manner
  • Draft minutes of meetings and track follow-up actions to ensure completion
  • Maintain and organise knowledge management database, email distribution list and digital filing systems

Budget Tracking and Financial Administration

  • Monitor division cost centre budgets and track budget utilisation
  • Track procurement status across teams
  • Conduct data analysis and present insights on the budget utilisation trending
  • Assist in preparing monthly procurement milestones and budget utilisation reports to management
  • Streamline and automate budget tracking and utilisation processes

Administration Support

  • Handle general administrative functions including scheduling meetings with management, assist in procurement, staff onboarding and off-boarding tasks such as security and access clearance support
  • Support the team with ad-hoc administrative tasks as required

Requirements

  • 3-5 years working experience in cybersecurity related roles
  • Familiar with in cybersecurity frameworks, tools and technologies
  • Knowledge and understanding of procurement processes, policies and practices including AOR, tender evaluation methodology.
  • Preferably 1-3 years’ experience in event management and communications related to cybersecurity related events such as StackX, workshops and training
  • Previous experience in project and procurement management of cybersecurity related projects with involvement in procurement processes including preparation, evaluation, and award phases.
  • Ability to identify project, governance and financial implications across all functional areas throughout procurement, project management, and administrative processes.
  • Strong organisational and multitasking abilities
  • Strong written and verbal communication skills
  • Attention to detail and accuracy in documentation
  • Good time management and follow-through
  • Ability to work independently and as part of a team
  • Experience with data analytics and automation will be an advantage
