Administrative cum Finance Manager

We are seeking an experienced and organized Administration Manager to join our team. The Administration Manager will be responsible for managing the day-to-day administrative functions of the company, including human resources, facilities management, and office administration. The successful candidate will have a strong understanding of administration, excellent communication skills, and experience in a management role.

Human Resources Duties
Responsible for timely and accurate processing of staff payroll regularly.
Handle all administrative duties relating to HR matters and claims.
Manage work passes related issues such as application, renewal, cancellation etc.
Responsible for application, renewal and maintaining licensing with various government bodies
Assist in submission of CPF contributions, IR21, IR8A, levy claim applications and government surveys.
Maintain and timely renew of Insurances, Security Bond and Insurance Claim Handling
Maintain up-to-date and filing records and profiles in the HR system and MOM portal.
Maintain and verify timesheets, attendance and leaves balance for all staff
Prepare letters and internal announcements as and when required.
Implemented and ensured compliance as the Mngt. Rep. for both ISO 9001 2015 & ISO 45001 2018 Cert.
Agency License Renewal (Security Agency Competency Evaluation - SACE Audit)
Able to manage and learn inhouse computer software and chur reports.
Update company's website with regular updates.
Co-ordinate with Security officers for their frequent requirements of inventory, Pay slips and official letters.
Accounting Duties
Process accounts payable and receivable transactions accurately and in a timely manner
Responsible for monthly CPF contributions, tax clearance/ annual tax filing by working closely with Accountant during annual audit process.
Maintain accurate and up-to-date records in the accounting system
Quarterly GST submission
Long and short-term cash flow projection and monitoring
Prepare invoicing, debit and credit notes, payments and e-filing duties, bank reconciliation, cash flow statements.
Prepare letters and emails to remind customers of due payments
Preferred competencies and qualifications
Bachelor’s degree in Business Administration, Human Resources, or related field
5–7 years of relevant administrative experience, including progressively responsible management roles within a security agency.
Excellent communication and interpersonal skills to engage effectively with diverse stakeholders
Demonstrated ability to work independently and collaboratively within teams
Detail-oriented with strong organizational skills to manage multiple priorities efficiently
