1. Concur Claims

• Support the Principal Investigator (PI) in the timely processing and submission of project Concur claims

• Ensure all project expenses are accurately recorded and properly documented

• Verify that claims comply with institutional policies and grant requirements

• Reduce the administrative burden on the PI by managing claims-related processes

• Improve the efficiency of project claims management and support smooth financial operations

2. Event Support

• Sending invitation letters to event attendees, answering queries and collating responses

• Liaising with travel agent and with guests to arrange guests’ travel

• Processing claims related to guest travel

• Responds to queries from guests, providing customer services

• Other event-related bookings as necessary

• Supports event team on the day with any task needed

3. Visits Support

• Liaise with external parties to arrange visits

• Confirm the agenda with the external party and with SSHSPH leadership

• Room booking, room set up, collating slides, preparing refreshments in the room, taking photos were required

• Welcoming guests

Qualifications

• Minimum diploma or equivalent; degree preferred

• Experience in administrative, finance, or claims processing work

• Familiarity with Concur or similar expense claim systems is an advantage

• Strong attention to detail and good record-keeping skills

• Able to work independently and handle confidential information responsibly

• Good communication and coordination skills

• Proficient in Microsoft Excel, Word, and email

• Able to meet deadlines and support project administrative needs

• Able to work with a flexible schedule, as working hours may be irregular and support mayoccasionally be required at short notice

• Willing to be engaged on an hourly basis, with payment based on actual hours worked4
