[What the role is]
The Senior Manager (Training Deployment & Resource Management) leads the planning and deployment of NACLI's training resources, including in-house facilitators, Associate Trainers, and docents, to ensure that training programmes and gallery operations are adequately and efficiently resourced.
The role drives operational excellence through data-driven insights, process innovation, and the adoption of AI and digital solutions to strengthen scheduling, resource utilisation, and governance. Through these efforts, the position plays an important role in building the capabilities of PA staff and grassroots leaders in support of PA’s community-building mission.
[What you will be working on]
Training Resource Management
- Develops and upholds training deployment principles, guidelines and standard operating procedures to support a fair and transparent allocation of training assignments
- Leads the planning, scheduling and deployment of training resources, including the Master Training Schedule, monthly and weekly assignments and facilitator deployment
- Maintains accurate facilitator, module mapping, module ownership and deployment information in LEAP and NACLI’s training administration and resource management systems
- Works closely with NACLI’s training faculty, Training Administration team, Vice-Deans (Training) and other stakeholders to review facilitator capacity, address deployment gaps and constraints to ensure adequate programme coverage
- Serves as the key operational liaison with Learning Facilitators and Vice-Deans (Training) on training assignment matters, responding promptly to deployment queries, clarifying assignment requirements and coordinating changes or replacement coverage when assigned trainers are unavailable, including at short notice
- Ensures that assignment changes are accurately recorded and communicated to all affected stakeholders, and escalates unresolved deployment gaps or significant operational risks to management in a timely manner
- Provides timely updates to management on training schedules, deployment matters and key operational developments
Process Innovation and Operational Excellence
- Leads the design and implementation of system enhancements, and process automation by leveraging AI toolsand digital solutions to streamline planning, scheduling and resource deployment in support of training
- Reviews operational workflows, leverages data insights and recommends process improvements to strengthen productivity, governance and user experience
Associate Trainer Scheme Management
- Manages the appointment and contract of NACLI's Associate Trainers to strengthen the Institute's training capacity and augment in-house capabilities
- Plans and manages the end-to-end engagement, deployment and scheduling of external facilitators to ensure seamless delivery of NACLI’s training plans
- Oversees the quality assurance and performance of Associate Trainers, making recommendations on appointment renewals and continuous improvements to strengthen training quality
Resource Planning and Administration
- Leads the review and enhancement of leave management and resource planning processes, leveraging digital solutions and data insights to streamline leave forecasting, internal leave record systems, and upstream planning of NACLI-wide event calendars e.g. workplan and mid-year review
- Oversees the end-to-end scheduling and coordination of departmental and senior management meetings, ensuring appropriate administrative support structures and documentation standards are in place to strengthen governance and operational efficiency
- Manages the onboarding of new NACLI learning facilitators, making recommendations on continuous improvements to ensure briefings on Training Deployment & Relations functions are aligned with organisational objectives
- Prepares management reports and presents training deployment insights, statistics and operational analyses to support management decision-making
Docent Coordination and Gallery Operations
- Leads the end-to-end deployment and scheduling of docents to ensure seamless visitor engagement and guided tour operations at Our Community Gallery
- Liaises with internal and volunteer docents to ensure adequate coverage across regular tours, special visits, and ad hoc group bookings to support consistent service delivery
- Oversees docent deployment, visitor feedback, and tour requirements, leveraging data insights to make recommendations on continuous improvement to strengthen gallery operations and visitor experience
- Supports cross-functional initiatives and broader organisational needs, as required
[What we are looking for]
Experience
- Minimum - 3 years of working experience with some management/supervisory responsibilities Desired - 3 years of working experience with some management/supervisory responsibilities in fields related to training resource management and/or business administration-related
Skills
- Strong interpersonal, leadership and planning skills
- Good grasp of training environment and resource-deployment related areas
- Familiar with ops system process and innovation
- Able to work well with IT systems, numbers and statistics
- Strong literacy in Microsoft Office Productivity Suite
