Senior Admin Executive (Training)

Counselling and Care Centre

We are seeking a highly organized, detail-oriented, and proactive individual to support our training operations.

The Senior Executive is responsible for providing customer service support to applicants and trainees. He/She is also responsible for course administrative and logistical support to academic staff to ensure the smooth delivery of CCC’s training courses. He/she also coordinates additional services including technical equipment, refreshments and housekeeping relating to training.

Work Hours

8:30 a.m. to 5.30 p.m. on weekdays.

The work schedule may be adjusted to cater to the training courses. He/she is largely expected to work in the office, although he/she may also be required to travel out of the office for meetings from time-to-time.

Key Responsibility Areas

Accreditation, Compliance & Quality Assurance

  • Oversee registration, renewal, and compliance for Course Application (CA), Organisation Registration (OR), Enhanced Registration Framework (ERF), EduTrust (ET), and SAC Accreditation;
  • Coordinate submissions across departments (Finance, HR, Trainers) and external consultants, ensuring audit readiness;
  • Maintain and review required documentation (training records, assessments, policies, financials, trainer credentials);
  • Lead quality assurance processes, including bi-annual/annual reviews, EduTrust compliance (e.g. Criterion 7), and continuous improvement initiatives;
  • Analyse data (evaluations, results, feedback) to strengthen programme quality and outcomes.

Training Administration, Systems & Records Management

  • Oversee end-to-end training administration, including course setup, scheduling, assessments, and trainee records;
  • Ensure accuracy and maintenance of systems (e.g. Salesforce), academic calendars, and organisational website updates;
  • Monitor key records (observations,results, evaluations, course reviews) to ensure compliance and data integrity;
  • Lead implementation and optimisation of systems (e.g. LMS), including vendor liaison and user acceptance testing.

Operations, Planning & Resource Management

  • Manage day-to-day training operations, including orientation, contracts, attendance, classroom setup, AV support, and trainee enquiries;
  • Supervise administrative functions and ensure smooth delivery of programmes;
  • Plan and allocate resources (budget, facilities, room scheduling, training materials);
  • Collaborate with Business Development on course planning (short courses, professional education, customised training);
  • Support strategic planning, including organisational goals, growth initiatives, and process improvements.

Stakeholder Management, Projects

  • Act as key liaison with SSG Account Managers and external stakeholders on accreditation and compliance matters;
  • Lead and support organisational projects (e.g. system implementation, new facility processes, service improvements);
  • Provide administrative and operational support to leadership, trainers, clients, and cross-functional teams;
  • Handle ad-hoc responsibilities, including logistics coordination and operational support.

SWDA Funded Courses

  • Manage the application and documentation of WSQ/SSG grant administration;
  • Curriculum development administrative support.

Experience

At least 3 years of student services experiences in educational institutions. Familiarity with the ERF and EduTrust Framework under CPE and SSG would be an advantage.

Requirements

  • Strong communication and people skills;
  • Proficiency with MS Office and other basic desktop application;
  • Knowledge in training grants (especially PCG, WSQ/SSG related) and their end-to-end administration;
  • Excellent planning and organisation skills;
  • Able to perform under pressure;
  • Able to work cohesively in a team-based environment as well as independently.
