HR Executive

Job Summary
We are looking for a responsible, organized and hands-on HR Executive to support our day-to-day human resource operations.
The successful candidate will be involved in recruitment, HR administration, attendance, payroll support, work pass matters, employee relations and HR compliance.
The ideal candidate should have a good understanding of Singapore employment practices, strong communication skills and the ability to work independently in a fast-paced environment.
Key Responsibilities
Recruitment
- Handle end-to-end recruitment for full-time and part-time positions.
- Source and screen candidates through various recruitment channels.
- Arrange interviews and coordinate with hiring managers.
- Prepare employment offers and onboarding documents.
- Coordinate new employee onboarding and ensure all required documents are completed.
- Maintain recruitment records and candidate information.
HR Administration
- Maintain accurate and up-to-date employee records.
- Prepare employment contracts, confirmation letters, salary adjustment letters and other HR documents.
- Manage employee onboarding, transfers and offboarding.
- Handle day-to-day employee HR enquiries.
- Maintain proper and confidential HR filing.
- Ensure employee information and HR records are kept accurate and updated.
Attendance & Leave Management
- Monitor employee attendance and clock-in/out records.
- Follow up on attendance discrepancies and missing records.
- Monitor leave applications and leave balances.
- Verify overtime, rest-day and public holiday work.
- Follow up on absenteeism and attendance issues.
- Ensure attendance records are accurate for payroll processing.
Payroll Support
- Assist with monthly payroll preparation and verification.
- Check salary, overtime, allowances, deductions and unpaid leave.
- Verify payroll against attendance and leave records.
- Assist with CPF-related matters and submissions.
- Liaise with relevant parties on payroll-related matters.
- Ensure payroll information is accurate and submitted within the required timeline.
MOM & Work Pass Matters
- Assist with Work Permit and S Pass applications, renewals, transfers and cancellations.
- Monitor work pass expiry dates.
- Maintain accurate records of foreign employees.
- Assist with MOM-related matters, including quota and levy.
- Assist with IR21 and other statutory submissions when required.
- Ensure HR practices comply with relevant Singapore employment regulations.
Employee Relations
- Handle employee enquiries and workplace concerns professionally.
- Assist management with employee relations matters.
- Support disciplinary and performance management processes.
- Prepare warning letters, counselling records and other HR documentation when required.
- Assist with probation reviews and employee performance matters.
- Maintain confidentiality when handling sensitive employee matters.
HR Policies & Compliance
- Assist in implementing and maintaining HR policies and procedures.
- Ensure proper HR documentation and processes are maintained.
- Keep updated on relevant Singapore employment regulations and MOM requirements.
- Assist with HR audits and compliance checks.
- Support improvements to HR processes and procedures.
HR Systems & Reporting
- Maintain accurate employee information in HR and attendance systems.
- Update attendance, leave and employee records promptly.
- Prepare basic HR reports when required.
- Use StaffAny or other HR/attendance systems to manage employee attendance and schedules.
- Assist in identifying and resolving discrepancies in HR system records.
Requirements
- Diploma or Degree in Human Resources, Business Administration or related discipline.
- Minimum 2 years of relevant HR experience.
- Good understanding of Singapore employment practices and MOM requirements.
- Experience in recruitment, HR administration and payroll support.
- Experience handling work permits and foreign employees will be an advantage.
- Good communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Able to work independently and manage multiple tasks.
- Good problem-solving skills.
- Proficient in Microsoft Office, particularly Microsoft Excel.
- Experience with StaffAny or other HR, payroll and attendance management systems will be an advantage.
