Our client is a growing agency seeking an Office Manager to support daily operations and work directly with the leadership team. The organisation values structure, reliability, and professionals who can take ownership of both administrative and operational functions.
Our client requires an Office Manager to oversee daily office operations, provide finance and accounting support, and deliver direct operational support to the directors. This is a hands-on, multi-faceted role combining administrative management, basic bookkeeping, vendor coordination, and event support.
Responsibilities
Office and Administrative Management
- Oversee daily office operations and workflow
- Manage office supplies, vendors, utilities, and general upkeep
- Coordinate schedules, appointments, and internal documentation
- Handle correspondence, filing, and record keeping
Finance and Accounting Support
- Prepare and issue invoices using Xero accounting software
- Track payments, expenses, and maintain basic bookkeeping records
- Manage internet banking transactions, including rent, vendor payments, salaries, and reimbursements
- Liaise with external accountants and bookkeepers as required
Operations and Business Support
- Provide direct support to the directors in running the agency
- Coordinate with vendors, projects, and stakeholders
- Support basic reporting and administrative processes
- Follow through on tasks and timelines to ensure completion
- Coordinate events, workshops, and activities, including on-site support
- Support photography, videography, or marketing content capture as needed
Requirements
- 3 to 5 years of experience in office management or administrative roles
- Proficiency in Xero or similar cloud-based accounting software
- Experience with internet banking transactions and basic bookkeeping
- Strong organisational and multi-tasking skills
- Excellent written and verbal communication skills
- Ability to work independently and manage multiple priorities
Preferred Qualifications
- Experience supporting directors or senior leadership
- Event or workshop coordination experience
- Basic photography or videography skills
- Experience managing vendor and stakeholder relationships
- Prior experience working in an agency or small business environment
