About the role

The Operations Executive supports the Deputy Manager – Operations across facilities management, fleet, statutory compliance, and sustainability-data processes, ensuring operational paperwork is completed accurately and on time within established frameworks. A key part of the role involves applying and maintaining the company's contractor evaluation framework under its ISO 45001 and ISO 14001 certifications, making this a genuinely developmental position, not a purely administrative one.

Key responsibilities

  • Apply and maintain the company's contractor and vendor evaluation framework in accordance with ISO 45001 (Occupational Health & Safety) and ISO 14001 (Environmental Management) requirements; onboard, assess and update the qualified contractor register, and escalate non-compliant or borderline contractors to the supervisor for decision

  • Provide admin support for ISO 9001, ISO 14001, ISO 45001, BizSAFE and WSH documentation — collating records, keying data into trackers and portals, and coordinating audit scheduling and meeting room bookings

  • Maintain a legal and regulatory register — monitor updates from relevant government authorities, summarise relevant changes, and report to the supervisor on how they may apply to operations

  • Liaise with contractors and service providers to keep office, equipment and facilities in good working order; coordinate and follow up on repairs and preventive maintenance

  • Track and support timely renewal of statutory permits, certifications and licences, and maintain the renewals register

  • Coordinate company-vehicle maintenance and renewals, and capture monthly utility consumption data

  • Maintain operating-expense records against the set budget, and flag to the supervisor when spending approaches defined trigger points

  • Support procurement administration for operational and facilities needs — obtain quotations, help prepare and route purchase orders, and collate and verify invoices for payment processing

  • Support continuous improvement of operational and ISO-related processes — flag gaps or inefficiencies observed in day-to-day work and propose practical suggestions to the supervisor

  • Serve as front-of-house contact for calls and walk-in visitors

About you

  • Diploma or GCE "A" Level / Nitec (with relevant experience) in Business Administration, Facilities Management, or a related field

  • Proficient in Microsoft Office (especially Excel) and Google Workspace

  • Strong attention to detail and accuracy in data entry, records and document handling

  • Well-organized, able to manage multiple tasks and meet deadlines within established processes

  • Good written and verbal communication in English

  • A proactive, solutions-oriented mindset — comfortable raising questions and suggesting better ways of working

  • Comfortable using AI productivity tools (e.g., Claude, Gemini) to assist with drafting communications, summarizing regulatory updates, and preparing documentation; prior experience is not required but a willingness to adopt and learn is

  • Willing to occasionally support vendor or maintenance works outside normal hours or on weekends (time-off-in-lieu provided)
