Job Overview
Reiwa Health is looking for a reliable and detail-oriented Senior Clinic Operations Executive to support the daily operations of our clinic and ensure a smooth, professional and well-managed client experience.
This role is suitable for someone who is organised, service-minded and comfortable working in a healthcare setting. You will support front-desk operations, client interactions, appointment coordination, room readiness, payments, claims, inventory and daily clinic upkeep.
Key Responsibilities
Clinic Operations
Manage day-to-day clinic operations and ensure smooth client flow.
Prepare and reset consultation, counselling and treatment rooms.
Ensure the clinic is clean, organised, well-stocked and client-ready daily.
Monitor clinic supplies, consumables, expiry dates and inventory levels.
Flag maintenance, equipment, stock or facility issues early.
Client Experience
Welcome and assist clients in a warm, discreet and professional manner.
Manage check-in, waiting experience, payment, checkout and rebooking support.
Handle basic client enquiries using approved information.
Ensure clients receive clear next steps after their visit.
Escalate medical, sensitive, unclear or non-standard matters to the relevant practitioner.
Appointment and Room Coordination
Manage appointment bookings, rescheduling and cancellations where required.
Ensure rooms and practitioners are scheduled properly with no avoidable clashes.
Check daily and next-day appointments for room readiness and operational needs.
Coordinate with the clinical team and remote team on client handovers and follow-ups.
Administrative, Claims and Payment Duties
Handle billing, payment collection, receipts and daily payment checks.
Assist with insurance, MediSave, CHAS, TPA or panel claims where applicable.
Track claim status, missing documents, payment issues and follow-up actions.
Maintain accurate client, payment, booking and operational records.
Systems and Reporting
Use clinic systems, CRM, calendar and internal trackers accurately.
Update client status, appointment changes, payment status and follow-up notes.
Support simple daily or weekly reporting on appointments, claims, stock, payments and pending follow-ups.
Identify recurring operational issues and suggest practical improvements.
Requirements
Minimum 3 years’ experience in clinic operations, healthcare administration, customer service, hospitality, wellness or a related service role.
Prior clinic or healthcare experience is preferred.
Claims experience with insurance, MediSave, CHAS, TPA or panel providers is preferred.
Strong spoken and written English.
Organised, responsible and attentive to details.
Comfortable using clinic systems, CRM, calendar tools, spreadsheets and payment systems.
Able to work independently while knowing when to escalate.
Warm, discreet and professional with clients.
Comfortable supporting clients who may be attending for private or sensitive health concerns.
Working Arrangement
5.5-day work week.
No night shifts.
Full-time, on-site role.
Working hours will follow clinic operational needs.
