Job Summary

We are looking for a responsible, organised and people-oriented candidate to support the company's day-to-day HR operations and employee engagement activities. The successful candidate will assist with HR administration, employee records, recruitment coordination and staff matters, as well as plan and organise company events, team-bonding activities and festive celebrations. The role requires someone who enjoys working with people, is well organised and can coordinate multiple activities effectively.

Responsibilities

HR Operations & Administration

  • Support daily HR operations by managing employee records and updating HR documentation to ensure accuracy and compliance
  • Administer staff attendance, leave, and other employee records to maintain up-to-date personnel data
  • Coordinate recruitment activities including job postings, scheduling interviews, and liaising with candidates to streamline hiring processes
  • Facilitate employee onboarding and offboarding to ensure smooth transitions
  • Apply knowledge of MOM work pass application processes to assist with relevant submissions
  • Prepare HR-related letters, documents, and staff communications to support internal communication needs
  • Assist payroll preparation by compiling necessary employee data and documentation
  • Manage employee benefits and insurance administration to support staff welfare
  • Maintain confidential filing systems for employee records to protect sensitive information
  • Implement company HR policies and procedures to uphold organizational standards
  • Respond promptly to employee HR enquiries and follow up on outstanding matters to maintain employee satisfaction

Employee Engagement & Team Bonding

  • Plan and organise team-bonding activities and employee engagement programmes that foster teamwork and positive workplace culture
  • Coordinate logistics for staff gatherings, team lunches, outings, and recreational activities including venue, catering, and transportation arrangements
  • Collect and analyse staff feedback to improve the effectiveness of engagement activities

Company & Festive Events

  • Plan and coordinate company celebrations and festive events such as Chinese New Year, Hari Raya, Deepavali, Christmas, and other special occasions
  • Organise staff birthday celebrations, appreciation events, and internal activities to boost morale
  • Manage event logistics including venues, catering, decorations, gifts, and supplier coordination
  • Prepare event schedules, invitations, and materials to ensure smooth execution
  • Collaborate with employees and external vendors to deliver successful events
  • Provide on-site support during events to address any issues promptly
  • Conduct post-event follow-up and documentation to capture lessons learned and feedback

General Administration

  • Assist with general office administration and coordination to support smooth daily operations
  • Maintain proper filing and documentation systems for easy retrieval and compliance
  • Support management with staff-related administrative matters to facilitate decision-making
  • Liaise with suppliers and service providers to ensure timely delivery of services
  • Perform other reasonable duties assigned by management to contribute to organizational goals

Preferred competencies and qualifications

  • Diploma or equivalent qualification in Human Resources, Business Administration or related field
  • 1–2 years of HR or administrative experience
  • Experience organising company events, staff activities, or team-bonding programmes
  • Proficient in Microsoft Office, Teams, and CRM software
  • Strong communication and interpersonal skills applied in workplace interactions
  • Organised and detail-oriented with the ability to coordinate multiple tasks effectively
  • Ability to handle confidential employee information with discretion
  • Creative mindset with willingness to suggest ideas for employee engagement
  • Positive, outgoing, and approachable personality
  • Ability to work independently and collaboratively within a team
  • Responsible, proactive, and initiative-taking attitude
