1. Operations & Department Administration

  • Workflow Management: Oversee the daily scheduling of therapy sessions, patient/client intake, and room allocations to ensure efficient clinic throughput.

  • Resource & Inventory Control: Monitor, maintain, and order therapy equipment, tools, and medical supplies, ensuring everything complies with safety and sanitation standards.

  • Compliance & Documentation: Ensure that patient records, billing entries, attendance tracking, and clinical notes maintained by therapy assistants are accurate and compliant with regulatory standards and facility policies.

2. Staff Supervision & Leadership

  • Team Coordination: Supervise therapy assistants, support aides, and administrative staff. Assist the Therapy Manager in recruiting, onboarding, and scheduling staff shifts.

  • Training & Mentorship: Conduct routine in-service training sessions, mentor junior therapy assistants, and evaluate staff performance to maintain high standards of patient care.

  • Interdisciplinary Communication: Act as a communication bridge between lead therapists (Physical, Occupational, Speech, etc.), support staff, and upper management.

3. Clinical Support & Patient Care

  • Assisting Therapists: Support licensed therapists in preparing clients, setting up equipment, and executing routine therapeutic activities or exercise programs under direct supervision.

  • Patient Engagement: Guide patients through pre-approved routines, monitor them during treatments, and document their physical or behavioral responses to therapy.

  • Family Coordination: Answer inquiries from families or caregivers regarding daily schedules, general treatment protocols, and patient progress milestones.

Qualifications & Requirements

  • Education: A diploma or bachelor’s degree in Allied Health, Healthcare Administration, Physical Therapy Assisting, Psychology, or a related field.

  • Experience: 2 to 5 years of experience working as a therapy assistant, rehabilitation technician, or healthcare administrator, with preference given to those with prior supervisory or leadership experience.

  • Certifications: Current CPR/AED certification and relevant healthcare support credentials or licenses depending on local jurisdiction and the specific clinical focus (e.g., physical therapy, behavioral health).

  • Leadership & Organization: Strong capacity to manage competing priorities, organize complex staff schedules, and lead a diverse healthcare team.

  • Communication: Excellent interpersonal skills for interacting with distressed or vulnerable patients, anxious family members, and multidisciplinary medical professionals.

  • Technical Proficiency: Familiarity with Electronic Medical Records (EMR) software, scheduling platforms, and standard office productivity suites (Microsoft Office).

  • Physical Resilience: Ability to handle the physical demands of a clinical environment, which may involve standing for long periods, bending, and assisting in the safe transfer or mobility of patients.
