What you'll do
As an Administrative Project Coordinator you will play a pivotal role in supporting the successful delivery of a modern ERP transformation programme. Your daily responsibilities will involve collaborating closely with regional teams across to coordinate workshops, meetings, travel logistics, document management and stakeholder communications. You will be responsible for maintaining accurate records such as trackers and action logs while ensuring all administrative requests are handled promptly. By facilitating smooth communication between facilitators, participants and delivery partners you will help create an environment where every team member feels supported. Your proactive approach will enable you to anticipate needs before they arise—whether it’s preparing meeting materials or assisting with expense-related administration. Success in this role means being responsive to changing priorities while consistently delivering dependable support that keeps the programme moving forward.
Support to track/chase deliverables and activities required to meet to timelines of the program
- Provide day-to-day project administration and coordination support to programme teams, ensuring all activities are organised and delivered efficiently.
- Coordinate project activities across regional teams including workshops, working sessions, stakeholder meetings, team sessions & trainings, and programme events to foster collaboration.
- Maintain local and regional project trackers, action logs, contact lists, meeting records, and other working documents with meticulous attention to detail.
- Support follow-up on actions, decisions, and information requests across regional project teams by connecting stakeholders and tracking progress.
- Help teams adhere to agreed project processes, governance requirements, and ways of working by sharing information and guiding compliance.
- Coordinate logistics for workshops and other programme activities such as room bookings, invitations, attendance tracking, catering arrangements, technology set-up, and workshop materials.
- Assist with preparing, formatting, and distributing meeting packs, presentations, agendas, pre-read materials, and follow-up notes for seamless session execution.
- Support coordination between facilitators, participants, regional teams, and delivery partners to ensure sessions run smoothly in an inclusive manner.
- Coordinate travel requirements for regional teams and visiting programme stakeholders including itinerary support, accommodation coordination, and related administration tasks.
- Act as a point of coordination for regional project administration queries by directing requests to appropriate team members or process owners.
