The Purchasing Executive is responsible for supporting the Company’s procurement operations by sourcing goods and services, coordinating with suppliers and departments, processing purchase orders, and ensuring timely delivery while maintaining competitive pricing, quality and compliance with Company purchasing policies and procedures.
Day-To-Day Responsibilities
Review and verify purchase requisitions to ensure they are complete, properly approved and aligned with the Company’s purchasing requirements.
Obtain and evaluate quotations based on the requirements and specifications stated in approved purchase requisitions.
Liaise with suppliers on product availability, pricing, delivery requirements, substitutions, cancellations and other purchasing-related matters.
Work closely with departments to clarify requirements and specifications for goods and services.
Prepare and process purchase orders, change orders and order cancellations accurately and in a timely manner.
Ensure all purchasing activities and administrative duties are carried out accurately, efficiently and in accordance with established procedures.
Maintain complete and up-to-date purchasing records, supplier information and pricing data in the relevant system.
Prepare purchasing reports and summaries as required by the department and management.
Execute and monitor day-to-day purchasing activities to ensure operational requirements are met in a timely manner.
Follow up on outstanding purchase orders and monitor order status to ensure timely fulfilment.
Monitor and follow up on supplier claims relating to defective, damaged, short-delivered or missing items, ensuring timely resolution.
Coordinate with suppliers and relevant departments to ensure goods are delivered on time and according to the required specifications.
Source, evaluate and negotiate with suppliers to obtain the best overall purchasing terms in terms of quality, price, payment terms, delivery and service.
Monitor and coordinate the delivery of goods from suppliers and provide timely updates to the relevant departments.
Ensure purchasing policies and procedures are consistently followed and seek approval from the immediate manager for any exceptions.
Perform any other duties and responsibilities relevant to the position as assigned by the immediate manager or management.
Knowledge, Skills and Experience:
Minimum 2-3 years of experience in the field of hospitality and F&B, and minimum two years in the same position
Excellent organizational, communication and presentation skills
Excellent Interpersonal and Negotiation Skills
Fluent in English
Excellent computer skills, (Microsoft office)
Proficient in Microsoft Office applications, particularly Dynamics 365 is a plus
Good business awareness including external markets and competitor positions
Highly cooperative team spirit
Problem-solving skills
